This is a fully remote position, open to applicants in Mexico.
• Generate and dispatch statements or invoices, monitor payments, and document company expenditures.
• Collect data on trends, industry best practices, and other publicly accessible information, and compile reports based on the findings (e.g., for comparative analysis).
• Organize and maintain documents and files systematically.
• Data Entry: create lead lists or meeting minutes, transcribe audio recordings, prepare payroll details, and arrange research notes.
• Investigate products, procure goods, and obtain samples.
• Maintain, update, and gather information for marketing and sales initiatives through a CRM system.
• Oversee project monitoring, facilitate internal communication, and manage company data.
• Coordinate team schedules, avert scheduling conflicts, and ensure clients arrive on time and prepared for meetings.
• Organize itineraries, book accommodations, rental vehicles, etc.
• Relay information for incoming calls and make calls for appointments or conduct informational inquiries.
• Respond to emails, follow up on communications, organize the inbox according to client preferences, and inform clients about significant emails.
• Integrate data and other content into cohesive reports and presentation slides.
• Upload videos, manage negative feedback, and keep the account profile current.
• Perform ad hoc tasks as needed.
• A minimum of 3 years of experience as an Executive Assistant to C-level executives (CEO, COO, etc.).
• Bachelor's degree or any relevant certificate course (required).
• Exceptional communication skills via phone, email, and instant messaging.
• Proficient in English communication, both written and verbal (at least B2 level).
• Strong organizational and time management abilities.
• Technologically adept and familiar with contemporary technologies, including desktop sharing, cloud services, and VoIP.
• Experience with word-processing software and spreadsheets (e.g., MS Office).
• Familiarity with online calendars and scheduling tools (e.g., Google Calendar).
