This is a fully remote position, open to applicants in New York.
• Take ownership of and manage the CEO's calendar, scheduling, and priorities.
• Implement a zero-inbox strategy for effective inbox management.
• Compose and oversee correspondence, client updates, and follow-ups.
• Prepare briefing materials and agendas for meetings.
• Supervise a remote team.
• Gather, analyze, and summarize team performance reports.
• Serve as the gatekeeper and intermediary between the CEO and the team.
• Ensure that deadlines, milestones, and deliverables are consistently met.
• Develop and execute SOPs, workflows, and organizational systems.
• Identify inefficiencies and proactively suggest enhancements.
• Introduce structure and accountability to a growing organization.
• Manage travel arrangements and logistics.
• Oversee expense reporting, contract preparation, and other financial administrative tasks.
• Assist with budget planning and financial coordination.
• Coordinate event logistics as necessary (an area for future growth).
• 3–5+ years of experience as an Executive Assistant, Chief of Staff, or Operations Manager supporting a CEO or executive.
• Demonstrated ability to establish systems, SOPs, and organizational processes from the ground up.
• Strong written and verbal communication skills—professional, clear, and confident.
• Outstanding organizational skills with a keen attention to detail.
• Self-motivated individual who takes initiative and can work independently.
• Comfortable managing and coordinating remote teams.
• Proficient in Google Suite (Docs, Sheets, Slides, Calendar, Gmail).
• Available to work Monday–Saturday during US Eastern Time hours.
• Open to a 1099 independent contractor arrangement.
• Experience in the automotive, luxury, or high-end service industries (Nice to Have).
• Spanish and/or Arabic language skills (Nice to Have).
• Familiarity with CRM platforms and project management tools (Nice to Have).
• Experience in event coordination (Nice to Have).
• Background working with high-profile or celebrity clientele (Nice to Have).
• $70,000 – $85,000/year (1099 contractor).
