This is a fully remote position, open to applicants in South Africa.
• Calendar Management: Effectively oversee the CEO's intricate and frequently shifting schedule, including the organization of meetings, conference calls, and appointments. Anticipate potential scheduling conflicts and address them proactively.
• Email and Correspondence: Monitor and prioritize the CEO's email inbox, draft and respond to messages on their behalf, and ensure timely and accurate communication with both internal and external stakeholders.
• Travel Arrangements: Coordinate all travel logistics for the CEO, encompassing flights, accommodations, transportation, and itinerary planning. Work with travel agencies, manage visas and travel documents, and provide essential information and support during trips.
• Meeting Coordination: Develop meeting agendas, oversee logistics, and ensure all necessary materials are prepared and distributed beforehand. Record minutes, track action items, and follow up on outstanding tasks to guarantee effective meeting outcomes.
• Confidentiality and Discretion: Manage sensitive and confidential information with the utmost integrity and discretion. Uphold confidentiality concerning all matters related to the CEO, the organization, and business operations.
• Documentation and Filing: Organize and maintain both electronic and physical files, records, and documentation, ensuring easy access and efficient organization. Create and uphold a systematic approach to record-keeping.
• Communication Liaison: Serve as a liaison between the CEO and internal as well as external stakeholders, including employees, clients, partners, and investors. Handle incoming inquiries, screen phone calls, and provide accurate information or redirect them to the appropriate individuals.
• Research and Analysis: Perform research, gather data, and prepare reports, presentations, and briefing materials for the CEO. Deliver insightful analysis and recommendations based on findings to aid decision-making processes.
• Miscellaneous Tasks: Carry out additional tasks and projects as assigned by the CEO, which may encompass personal errands, event planning, and other ad hoc responsibilities.
• 3+ years of experience as an Executive Assistant
• Strong organizational and multitasking abilities with the capacity to prioritize tasks effectively.
• Excellent verbal and written communication skills.
• Capability to work independently and take initiative in a fast-paced environment.
• Flexibility and adaptability to meet changing priorities and deadlines.
• Discretion and professionalism in managing sensitive information.
• Strong problem-solving and decision-making skills.
