This is a fully remote position, open to applicants in United Kingdom.
• Oversee projects and associated tasks that support the COO function on a global scale at QAD.
• Assist with ad hoc analyses and prepare relevant documentation.
• Develop content and carry out communication tasks effectively.
• Manage intricate executive calendars across various time zones.
• Handle meeting requests and prioritize schedules for executives.
• Prepare and submit expense reports for executives.
• Draft correspondence, presentations, documents, and confidential communications.
• Organize both domestic and international travel, including itineraries, visas, accommodations, and logistics.
• Prepare meeting agendas, briefing materials, and necessary documentation.
• Coordinate internal and external meetings, including reminders, logistics, and required content.
• Manage executive correspondence and follow up on pending action items.
• Track executive action items to ensure their completion.
• Perform administrative duties for the COO and other executives.
• Serve as a liaison among executives, employees, and external partners.
• Oversee budgets and travel expenditures in collaboration with FP&A.
• Establish efficient calendars, travel workflows, and expense processes within the first 90 days.
• Support ongoing leadership forums and cultivate relationships with fellow EAs and stakeholders.
• Identify and execute process enhancements or AI-driven improvements.
• Minimum of 3 years of experience in executive or administrative support.
• Experience assisting C-level executives in a dynamic global organization is highly preferred.
• Strong skills in project coordination.
• Excellent organizational and prioritization abilities with a keen attention to detail.
• Strong analytical capabilities.
• Ability to work autonomously as well as part of an effective team.
• Capacity to manage confidential information with discretion.
• Flexibility to adapt to competing demands.
• Exceptional written and spoken English skills.
• Proficient in Microsoft Office applications, including Outlook, Excel, and PowerPoint.
• Advanced knowledge of Google Workspace tools such as Gmail, Google Calendar, Google Docs, Google Sheets, Google Slides, Google Drive, and Google Chat.
• Familiarity with Google Meet and Microsoft Teams.
• Strong time management skills.
