This is a fully remote position, open to applicants in Philippines.
• Oversee the GM’s calendar, arrange meetings, and coordinate appointments.
• Organize travel arrangements, including itineraries and accommodations.
• Maintain and organize files, documents, and reports efficiently.
• Monitor timelines, tasks, and deliverables through Monday.com.
• Assist in coordinating environmental research projects and meeting deadlines.
• Track progress and provide regular updates to the GM.
• Draft, proofread, and edit emails, reports, and presentations.
• Manage communications to ensure timely responses and follow-ups.
• Prepare meeting agendas and accurately record minutes.
• Conduct research to aid environmental initiatives.
• Compile data for reports, presentations, and publications.
• Update databases with pertinent information.
• Effectively prioritize and manage the GM’s tasks to ensure nothing is overlooked.
• Set reminders for significant deadlines, meetings, and events.
• Review scientific and technical documents for accuracy, grammar, and formatting.
• Ensure consistency and quality in all written communications and publications.
• Assist in preparing grant applications, proposals, and environmental assessments.
• Coordinate with internal teams and external stakeholders as necessary.
• Perform other administrative or operational tasks to effectively support the GM.
• A minimum of 3 years of demonstrated experience as a Virtual, Executive, or Personal Assistant.
• Proficient in emerging technologies (e.g., AI tools, cloud services, VoIP) and Microsoft Office.
• Competent in word processing, spreadsheets, and online scheduling tools (e.g., Outlook, Google Calendar).
• Strong communication skills via phone, email, and messaging platforms.
• Exceptional organizational, time management, and written communication skills.
• Demonstrated discretion, confidentiality, and professionalism.
• Experience in social media management, particularly on LinkedIn.
• Access to a quiet and dedicated workspace.
• Familiarity with Xero is a plus.
• Proficient use of Monday.com.
• Utilize tools such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other relevant software.
• Familiarity with environmental software or databases is an advantage.
