This is a fully remote position, open to applicants in Philippines.
• Oversee the executive’s calendar, appointments, and daily agenda, ensuring all engagements are organized and current.
• Manage email communications, prioritizing urgent issues and keeping the inbox organized.
• Follow up on pending tasks and communications to maintain efficient operations.
• Provide the executive with regular reminders and updates regarding key priorities, deadlines, and outstanding actions.
• Prepare meeting notes, reports, and basic documentation as necessary.
• Monitor ongoing company orders, deliveries, and operational activities to guarantee timely fulfillment.
• Utilize Asana (preferred) or comparable CRM/project management tools to track task progress and follow-ups.
• Coordinate with clients, vendors, and internal team members to ensure effective communication.
• Maintain organized digital records of estimates, proposals, and client documentation.
• Assist in the preparation of presentations or simple reports as required.
• Ensure all operational documentation is precise and up to date.
• Demonstrated experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.
• Exceptional communication and follow-up abilities with a persistent yet professional demeanor.
• Strong organizational capabilities and meticulous attention to detail.
• Proficient in Google Workspace (Docs, Sheets, Gmail); familiarity with Asana or CRM systems is preferred.
• Ability to manage multiple tasks, anticipate needs, and handle sensitive information with confidentiality.
• Reliable, proactive, and highly trustworthy with minimal supervision required.
• Must be available between 8:30 AM and 5:00 PM PST for coordination and communication, based on pre-scheduled meetings.
