This is a fully remote position, open to applicants in United States.
• Oversee the calendars of the Chief External Affairs Officer and Chief Strategy and Impact Officer, managing scheduling and competing priorities across various teams while exercising sound judgment in time allocation.
• Assist executives with sensitive matters, including supporting their development and implementation of management policies, as well as handling and preparing documentation related to personnel issues and bargaining strategies.
• Proactively safeguard and optimize the executives' time by anticipating scheduling needs and resolving conflicts before they occur.
• Arrange complex travel plans and itineraries, and ensure that expense reports are prepared and submitted accurately and promptly.
• Manage daily email and communications, highlighting priority items and ensuring confidentiality, timely, and precise responses along with follow-up.
• Act as the primary contact and liaison for both internal and external stakeholders on behalf of the Chief External Affairs Officer and Chief Strategy and Impact Officer.
• Create meeting materials, briefing documents, and agendas; take notes, and track action items and follow-ups.
• Organize logistics for team meetings, retreats, and events.
• Maintain contact lists, files, and digital records while supporting document and information management for the executive office.
• Proactively identify and resolve issues, adopting a learning mindset and focusing on solutions when challenges arise.
• Track deadlines for the CEAO, monitoring weekly priorities and project requirements across the External Affairs department.
• Engage in organization-wide activities, such as retreats, all-staff meetings, and assemblies.
• Proven experience as an Executive Assistant or in an administrative role supporting senior or C-suite executives; capable of independently performing the full spectrum of executive support functions.
• Established proficiency in calendar management, complex travel booking, expense reporting, and executive support protocols.
• Possess a warm, high-energy, and positive demeanor, with a growth mindset and a solution-focused attitude toward challenges.
• Exceptional organizational skills and attention to detail, able to manage multiple priorities in a dynamic and fast-paced environment.
• Outstanding written and verbal communication abilities; friendly, diplomatic, patient, discreet, and capable of maintaining confidentiality.
• Proficient in Google Workspace, including Google Calendar, Google Docs, and Google Sheets.
• Located in the Eastern or Central time zone and available to work standard hours from 10:00 a.m. to 6:00 p.m. ET.
• Ability to work both independently and collaboratively within a highly motivated team in a rapidly expanding organization.
