This is a fully remote position, open to applicants in Illinois.
• Manage the complete calendar for a Portfolio leader, addressing conflicts and prioritizing various requests.
• Coordinate extensive travel arrangements across different regions.
• Create meeting agendas and materials, while tracking action items and ensuring follow-ups are completed.
• Draft, oversee, and prioritize correspondence on behalf of the leader.
• Assist in cross-team projects and initiatives, monitoring deliverables and deadlines.
• Keep organized systems for outstanding items and commitments.
• Offer adaptable calendar and administrative support for the wider team.
• Use discretion to determine when to escalate issues versus resolving them directly, anticipating the needs of leadership.
• Previous experience supporting C-suite or senior executives in dynamic, global organizations.
• Proven ability to manage intricate calendars and competing priorities effectively.
• Advanced skills in Microsoft Office Suite: Outlook, Excel, Word, and PowerPoint.
• Proficient in Microsoft Teams.
• Established capability to manage confidential and sensitive information with discretion and sound judgment.
• Ability to cultivate and maintain trust with stakeholders at various organizational levels and across different regions.
• Willingness to adjust working hours to accommodate a UK-based leader.
• Comfort with operating independently across multiple time zones.
• Strong problem-solving abilities and a proactive, anticipatory mindset.
• Outstanding written and verbal communication skills.
• Experience with AI tools and productivity platforms (preferred).
• Background in real estate, technology, or professional services environments (preferred).
• Familiarity with project management principles and cross-functional coordination tools (preferred).
• Experience in remote or distributed team structures (preferred).
• Exposure to international business operations and cultural fluency (preferred).
• Quick to learn new systems, tools, and processes (preferred).
• Proven history of enhancing processes, systems, or workflows (preferred).
• Must possess authorization to work in the United States without requiring visa sponsorship.
