This is a fully remote position, open to applicants in Philippines.
• Oversee and manage executive calendars and emails, ensuring strategic time is prioritized and protected for both business and personal matters.
• Arrange internal and external meetings, guaranteeing smooth scheduling across various time zones.
• Assist in planning and facilitating internal meetings to ensure alignment and effective follow-through.
• Aid in coordinating cross-departmental communication to keep teams connected and informed.
• Prepare executives for meetings by organizing agendas, materials, and follow-up actions.
• Compose communications and assist in creating presentations or reports.
• Handle logistics for executive meetings, retreats, and special events.
• Manage and schedule LinkedIn social media postings using HubSpot.
• Draft and refine LinkedIn captions, executive posts, and other social media content.
• Provide assistance in basic photo and video editing using tools like Canva, CapCut, or similar applications.
• Thoughtfully utilize AI tools to support copywriting, content repurposing, and workflow efficiency.
• Maintain a high level of integrity and discretion when managing confidential and personal information.
• Collaborate with the existing Executive Assistant team to enhance processes and efficiency.
• Carry out additional duties as assigned to support the executive team's requirements.
• A minimum of 2 years of experience as an Executive Assistant supporting executives.
• Experience in supporting senior executives, with primary focus on the CFO, CMO, and CRO, and occasional assistance to the CEO as necessary.
• Demonstrated experience in communicating effectively with both internal and external stakeholders.
• Proficient in managing complex calendars and coordinating meetings across different time zones.
• Advanced skills in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams.
• Strong project management abilities, multitasking skills, and decision-making capabilities.
• Excellent written and verbal communication skills, with the capacity to draft clear and professional content.
• Experience in managing social media posts, especially on LinkedIn, covering content scheduling, post coordination, and engagement support.
• Proficient in basic copywriting for social media captions, executive posts, and professional LinkedIn content.
• Skilled in photo and video editing tools, particularly Canva and CapCut.
• Familiarity with HubSpot or other social media scheduling/content management tools is a significant advantage.
• Basic understanding of AI prompting to assist with copywriting, content creation, and workflow efficiency is highly beneficial.
• Ability to work independently, prioritize tasks effectively, and manage multiple projects simultaneously.
• High integrity and discretion in handling confidential and personal information.
