This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee, organize, and maintain the calendar and daily schedule for multiple executives or a single senior executive.

• Filter incoming correspondence and communications, responding independently whenever feasible.

• Coordinate logistics for both internal and external meetings, which includes scheduling rooms, catering, preparing agendas, and taking minutes.

• Plan and arrange travel itineraries and related logistics.

• Gather and prepare documents for meetings related to travel.

• Ensure that expense reports and purchase orders are completed with accuracy, staying within budget and receiving necessary approvals in the system.

• Anticipate the needs of executives and proactively address operational and administrative challenges.

• Act as a trusted advisor on various issues and trends while providing general consulting services based on expertise and best practices.

• Research, compile, and distill large or complex sets of data into clear and concise work products.

• Prepare reports, action items from meetings, and operational updates.

• Draft, edit, and disseminate approved communications to staff, external stakeholders, and executive leaders.

• Handle confidential and sensitive information with professionalism, discretion, and diplomacy.


⛳️ Requirements

• Associate's degree or equivalent experience is required.

• Proven experience providing direct support to executives in a dynamic, deadline-oriented environment.

• Excellent oral and written communication abilities.

• Professional demeanor with the capability to interact with discretion, tact, and confidence at all levels of the organization.

• Strong skills in organization, multitasking, and time management.

• Ability to manage a high volume of responsibilities and maintain performance under deadline pressure.

• Skillful in managing sensitive and confidential information with tact and discretion.

• Exercise independent judgment in decision-making processes.

• Self-driven, detail-focused, and proactive approach.

• Capability to work both independently and as part of a team.

• Willingness to travel up to 5% of the time.

• Proficient in developing and utilizing engaging, informative, and compelling presentation methodologies.

• Experienced in using internal systems and corporate resources to enhance the efficiency of executive office management.

• Strong interpersonal skills are essential.

• Experience in mentoring, coaching, and training team members.

• Proficiency in Microsoft Office and Outlook or equivalent email and calendar management software.
