Executive Assistant

This is a fully remote position, open to applicants in Mexico.

📋 Description

• Oversee the CEO’s calendar on a daily basis, ensuring every invitation is accurate, complete, and prioritized.

• Take charge of managing the CEO's inbox twice a day, aiming for an inbox zero by 10 AM EST and again by 5 PM EST.

• Arrange calls and meetings based on a clearly defined scheduling priority framework.

• Handle SMS requests from both the CEO and the CEO’s spouse at designated times throughout the day.

• Create and uphold the daily Admin Meeting agenda following the company’s structured format.

• Manage all aspects of travel logistics, including flights, accommodations, transportation, itineraries, calendar blocking, and Trip Files in Google Drive.

• Review the CEO’s calendar every Friday for the upcoming six weeks to spot gaps, conflicts, and priorities.

• Collaborate closely with the CEO’s spouse on family, personal, and household scheduling matters.

• Oversee gifting, company purchases, personal appointments, and miscellaneous administrative duties.

• Conclude each day by addressing outstanding emails, compiling the to-do list for the next day, and sharing content ideas.


⛳️ Requirements

• Proven track record as an Executive Assistant, Virtual Assistant, or Assistant to a CEO.

• Direct experience in supporting a founder, CEO, or C-suite executive.

• Strong skills in calendar management, including time zone considerations, batching, scheduling logic, and safeguarding executive time.

• Excellent discipline in inbox management and the ability to make confident decisions.

• High level of discretion and confidentiality when managing sensitive personal and business data.

• Advanced proficiency in Google Workspace, particularly Gmail, Calendar, Drive, Docs, and Sheets.

• Experience using Slack for daily communications.

• Strong background in travel booking and itinerary management.

• Exceptional attention to detail and proactive follow-through capabilities.

• Comfortable providing support to executives across various businesses, brands, or projects.

• Experience in telehealth, wellness, healthcare, or related industries is an advantage.
