This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee and coordinate the executive’s calendar, appointments, and scheduling priorities.

• Serve as a gatekeeper and buffer to enhance the executive’s time management and focus.

• Assist in organizing meetings, preparing agendas, and tracking follow-up actions.

• Support the management of internal workflows to ensure that tasks and projects remain on schedule.

• Organize and maintain Standard Operating Procedures (SOPs) and internal documentation.

• Aid in optimizing operational processes and upholding structured systems.

• Review, organize, and format business documents and internal materials.

• Help prepare and manage documentation related to business operations.

• Assist with administrative tasks tied to financial planning workflows as required.

• Collaborate with internal team members to facilitate smooth communication and project advancement.

• Aid in tracking tasks, deadlines, and deliverables across the organization.

• Assist with scheduling social media posts across various platforms.

• Manage the basic organization and updates of content.

• Support the preparation of simple graphic or visual content when necessary.


⛳️ Requirements

• Demonstrated experience as an Executive Assistant, Virtual Assistant, or in a similar administrative capacity.

• Exceptional written and verbal communication skills in English.

• Strong organizational skills and effective time management abilities.

• Capability to work autonomously with minimal oversight.

• Keen attention to detail and robust problem-solving skills.

• Experience in managing calendars, workflows, and documentation systems.

• Proficiency with standard productivity tools (Google Workspace, Microsoft Office, project management software, etc.).

• Nice to Have: Exposure to financial planning documentation or compliance-related administration.

• Familiarity with ASIC-related processes or documentation in the financial services sector.

• Basic experience with social media scheduling tools or simple graphic design platforms (e.g., Canva).
