This is a fully remote position, open to applicants in California.
• Oversee intricate calendars across various time zones while managing competing priorities.
• Arrange both domestic and international travel, including detailed itineraries, visas, accommodations, and adjustments at short notice.
• Prepare executives for meetings by gathering agendas, briefing materials, presentations, and other relevant documentation.
• Serve as a strategic gatekeeper and thought partner, assisting in prioritizing opportunities, meetings, and requests.
• Monitor action items and ensure follow-through from executive meetings and company initiatives.
• Organize leadership team meetings, board meetings, investor meetings, and executive retreats.
• Draft, edit, and manage communications and correspondence for executives.
• Collaborate closely with executives to enhance efficiency, productivity, and effectiveness.
• Manage confidential and highly sensitive information with outstanding judgment and discretion.
• Act as a primary liaison between executives and both internal and external stakeholders.
• Coordinate with Finance, Legal, Recruiting, Operations, and People teams regarding executive priorities.
• Oversee logistics for investors, board members, customers, partners, and candidates.
• Assist with strategic initiatives and special projects as assigned by leadership.
• Contribute to establishing structure and operational excellence in a dynamic, high-growth environment.
• Manage office logistics and vendors as required.
• Support the planning and execution of company events, leadership offsites, and team gatherings.
• Assist with hospitality for visitors, candidates, and investors.
• Ensure office spaces are organized, professional, and functioning smoothly.
• Aid in onboarding logistics and workplace coordination in collaboration with People Operations and IT.
• 3-5+ years of experience as an Executive Assistant supporting C-level executives, founders, managing partners, or executive leadership teams.
• Experience assisting senior executives in one or more of the following sectors:
• Venture Capital
• Private Equity
• Management Consulting
• Investment Banking
• Hypergrowth Technology Companies
• Proven track record supporting founders or CEOs in fast-paced environments.
• Exceptional organizational and project management capabilities.
• Excellent written and verbal communication skills.
• Strong business judgment and problem-solving abilities.
• Ability to handle multiple priorities with minimal guidance.
