This is a fully remote position, open to applicants in Bulgaria.

📋 Description

• Organizing and coordinating team meetings and events.

• Overseeing the preparation for quarterly demo sessions: Managing the entire preparation process for team demos, which includes coordinating presentations and Loom videos from all participants.

• Providing assistance in the TCO (Top Company Objective) planning process: Collecting and structuring data to facilitate strategic sessions, as well as coordinating during meetings.

• Arranging corporate meetings and team-building events (including team-building activities and general entertainment initiatives to enhance engagement).

• Proactively initiating and organizing team activities.

• Developing and suggesting innovative solutions to foster team communication and engagement (such as online games, interactive events on Slack, and other initiatives).

• Initiating and organizing events designed to boost team spirit in a remote work setting.

• Coordinating travel arrangements for the executive and the team, which includes handling business trip requests and visa preparations.

• Optimizing travel expenses by preparing and updating the team's travel budget.

• Registering the executive and other team members for exhibitions and events.

• Identifying cost-effective travel solutions and booking all necessary components (tickets, accommodations, etc.).

• Coordinating and organizing meetings upon request (including selecting times, communicating with participants, and ensuring all logistics and materials are in place).

• Maintaining and updating the team’s knowledge base in Confluence, engaging with team members to keep information current.

• Actively assisting in the creation and editing of presentation materials for the executive and the team.


⛳️ Requirements

• Over 3 years of experience in executive support, operations coordination, or related roles.

• Strong organizational and analytical abilities.

• Experience collaborating with senior stakeholders and cross-functional teams.

• Excellent proficiency in Microsoft Office, particularly:

• Excel (for data organization, trackers, and dashboards).

• PowerPoint (for executive presentations).

• Familiarity with task management tools (such as Asana, Notion, Monday, etc.).

• Comfortable handling data, dashboards, and reporting.

• Language skills: Advanced English; additional languages are a plus.
