This is a fully remote position, open to applicants in United States, +1 more country.
• Oversee calendars and manage access for 2–3 senior executives.
• Assess meeting priorities based on business objectives, clarify titles, create attendee lists, provide context for preparation, and safeguard focus time.
• Sort through non-securities emails, prioritize correspondence, draft responses for executives, and foster a trusted delegation process.
• Direct regulatory compliance issues through the executive.
• Organize meeting materials and agendas.
• Participate in select meetings, document follow-ups, and monitor action items until completion.
• Coordinate interview processes and keep candidate feedback updated.
• Ensure proper workflow management in HubSpot, Rippling, and Ramp.
• Maintain accurate and up-to-date CRM data.
• Provide a comprehensive view of business and personal travel alongside health appointments.
• Arrange closing dinners, team onsite events, conferences, as well as client and investor gatherings.
• Offer light editing and formatting support for presentations.
• Travel approximately once a month for team onsite activities and events.
• Act proactively, make decisions within established parameters, escalate issues when necessary, and ensure real-time communication via Slack, text, and email.
• Exceptional judgment and prioritization skills.
• High level of discretion and confidentiality.
• Capability to manage upward and assertively push back when necessary.
• Detail-oriented with a strong commitment to follow-through.
• Systems-oriented with the ability to establish structure as needed.
• Familiarity with AI or a willingness to develop skills in this area.
• Experience supporting senior executives in finance, banking, or similar regulated environments is preferred.
• Knowledge of HubSpot or similar CRM tools is advantageous.
• Ability to learn financial concepts and investor workflows on the job.
• Willingness to work extended hours and ensure real-time responsiveness.
• Willingness to travel approximately once a month.
