This is a fully remote position, open to applicants in Switzerland.

📋 Description

• Oversee and arrange email inboxes and incoming communications across various channels.

• Assist in the preparation and organization of receipts and financial documents for bookkeeping purposes.

• Compile travel expense reports and documentation using Expensify.

• Support invoice matching and perform basic financial administration tasks.

• Draft client proposals and accompanying documentation.

• Develop and maintain templates (e.g., sponsorship, proposals, Google Docs templates).

• Aid in the coordination of occasional events and sponsorship-related activities.

• Help with outreach and communication to professional contacts (e.g., physicians).

• Conduct research and provide assistance for general operational tasks as required.

• Contribute to drafting written content, including blog posts and website copy.

• Assist in the creation of marketing materials such as brochures, presentations, and branded documents.

• Document internal processes and aid in maintaining organized, accessible knowledge resources.

• Proactively follow up on tasks, deadlines, and commitments, providing reminders to leadership as necessary.


⛳️ Requirements

• 3–6+ years of experience in supporting executives, founders, or leadership teams.

• Exceptional written and verbal English skills.

• Strong organizational abilities with a structured, detail-oriented approach.

• High digital proficiency, including familiarity with cloud-based tools and Google Workspace (Gmail, Docs, Drive, etc.).

• Capability to work independently, manage multiple priorities, and remain proactive.

• Strong ownership mindset with the ability to foresee needs and follow through consistently.

• Nice to Have: Proficiency in the German language.

• Experience with tools like Expensify, Superchat, or Zanda.

• Background in marketing, copywriting, or client communication support.
