This is a fully remote position, open to applicants in Philippines.
• Administrative responsibilities encompass managing phone calls, overseeing calendars, coordinating travel arrangements, event logistics, and general office management tasks.
• Act as the primary point of contact for both clients and executives.
• Provide assistance with special projects, conduct research, and gather information as required.
• Engage in project management activities.
• Contribute to supporting operational functions.
• Oversee daily scheduling; adjust as necessary and communicate changes effectively to all involved parties.
• Coordinate all aspects of intricate domestic and international travel, both professional and personal.
• Organize meetings, reservations, and errands.
• Assist senior staff with meeting logistics in collaboration with other support personnel.
• Maintain a list of action items.
• Manage relationship databases and customer relationship management (CRM) systems.
• Participate in weekly meetings with leadership and project leads.
• Proactively anticipate the CEO’s needs, staying ten steps ahead to ensure seamless and successful outcomes.
• Prepare expense reports and uphold an accurate expense filing system.
• Exhibit flexibility in coverage – capable of supporting a diverse range of personalities and leadership styles.
• 1-2+ years of experience as an assistant working with executives or C-level management.
• Comfortable managing operational tasks.
• Experience in finance and global entrepreneurship is advantageous.
• Capable of working independently, predicting the needs of the operations team over time.
• Ability to operate effectively under pressure; meet tight deadlines; juggle multiple projects and expectations; and maintain sharp focus while prioritizing competing tasks.
• Strong attention to detail and excellent organizational skills are essential.
• Must be a collaborative team player, thriving in a fast-paced, highly demanding, high-volume, and dynamic environment.
• Possess strong interpersonal skills, with an understanding of the significance of maintaining confidentiality.
• Capable of effectively communicating and engaging with employees at all organizational levels.
• Quick to learn new processes and technologies, and able to assimilate into existing systems.
• Proficient in Microsoft Office and Google Suite.
• Willingness to work during US business hours (specific details will be provided and may be subject to change).
