This is a fully remote position, open to applicants in Canada.
• Identify and prioritize events. Conduct thorough research, assess, and suggest tradeshows, conferences, and industry gatherings that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a dynamic 12-month event calendar.
• Negotiate and formalize contracts. Cultivate relationships with event organizers, vendors, and venues. Secure sponsorships, booth spaces, speaking opportunities, and additional features to maximize our budget.
• Plan and carry out all aspects of events. Take charge of every detail, including booth design and shipping, promotional items, marketing materials, lead capture systems, badge scanners, audiovisual needs, catering, hotel arrangements, and travel logistics for the team.
• Serve as the on-site liaison. Attend every event in person, oversee booth setup and dismantling, address issues in real-time, and ensure our presence is professional from beginning to end.
• Prepare the team. Brief attending team members on goals, key messages, targeted accounts, and event logistics. Ensure everyone is informed about their roles and schedules.
• Collaborate with sales to enhance pipeline. Work with the sales team to arrange pre-show meetings, coordinate dinners and customer events on-site, and ensure every lead is captured, qualified, and promptly followed up.
• Manage pre- and post-event campaigns. Partner with marketing to execute email outreach, develop landing pages, run paid promotions, and leverage social media to boost booth traffic and meeting bookings ahead of the event.
• Oversee the budget. Manage event expenditures throughout the calendar year. Monitor costs, forecast accurately, highlight potential risks early, and prioritize effectively when necessary.
• Establish KPIs and report on outcomes. Define clear KPIs for each event (such as leads, meetings, pipeline, ROI) and create comprehensive post-event reports that evaluate performance and identify areas for improvement.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.
• Proven experience in organizing events from start to finish, even on a smaller scale. You should be able to reference events you managed and their outcomes.
• Experience in managing an events budget. You are skilled in forecasting, tracking expenses, and making decisions to optimize ROI.
• Comfortable establishing KPIs and creating reports that link event activities to pipeline and revenue growth.
• Passionate about AI and its application for enhanced productivity. You should be able to share specific examples of projects, tools, or processes where you have utilized AI to streamline or enhance your work as an events marketer (e.g., research, vendor communication, post-event analysis, content creation, lead enrichment, etc.). This is essential.
• Basic familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You excel at managing timelines, budgets, vendor relationships, and numerous moving components without oversight.
• Proficient in negotiating terms with vendors and event organizers to secure the best deals.
• Exceptional communication skills, both written and verbal. You can motivate a team, brief senior executives, and engage prospects on the exhibit floor with ease.
• Composed under pressure. Events can present challenges; you are adept at problem-solving on the spot.
• Willingness to travel 30% to 50% during peak event seasons across North America, with potential travel to Europe as our operations expand.
