This is a fully remote position, open to applicants in Philippines.
• Collaborate closely with the Director to ensure a complex, multi-event season operates smoothly and stays within budget.
• Oversee vendor payments and onboarding processes in Ramp, manage our event budgets, identify potential issues before they escalate, and assist the Director in maintaining focus on priorities.
• Take responsibility for the daily management of the season event budget — accurately record actual expenditures, monitor variances, and alert the team when trends deviate from the plan across any of the six events.
• Handle vendor onboarding and payment processing in Ramp, which includes setting up new vendors, submitting payments for approval, and verifying that invoices are correctly coded.
• Proactively identify emerging risks — such as budget overruns, vendor delays, unfulfilled deliverables, or timeline slippage — before they become significant issues.
• Create succinct budget summaries and status reports for leadership, transforming complex budget data into clear and actionable insights.
• Maintain an overview of all open items throughout the season to ensure the team has an up-to-date understanding of each event's status.
• Manage the task queue in Asana — distinguishing between urgent tasks, those that are blocked, and issues that require escalation.
• Develop and sustain event timelines, pre-production checklists, and run-of-show documents.
• Monitor vendor contracts to ensure that payment and deliverable milestones are achieved on time.
• Assist with ad hoc operational needs as the season unfolds.
• 3–5 years of experience in a production coordinator, production finance, or event operations role — preferably within the entertainment, live events, sports, or agency production sectors.
• Proficient in managing complex spreadsheets (Google Sheets) — capable of navigating a multi-sheet event budget model rather than merely inputting data.
• Experience with vendor payments and onboarding, including familiarity with accounts payable or expense management tools.
• Excellent written communication skills — vendor correspondence, internal Slack messages, and leadership summaries must be clear and professional.
• Proactive communicator — you identify issues before they escalate and follow up without needing reminders.
• Ability to work core PST hours or start a few hours earlier to align with EST.
• Familiarity with Ramp, Asana, or similar expense management and project management tools (preferred).
• Experience in multi-currency budgeting or international event production (preferred).
• Background in live event or sports production (preferred).
