This is a fully remote position, open to applicants in United States.
• Plan, organize, and oversee conferences, community gatherings, special productions, leadership events, and various organizational experiences.
• Manage events from the initial idea and planning stages through to execution and post-event follow-up.
• Create comprehensive event timelines, checklists, schedules, run-of-show documents, and project plans.
• Collaborate remotely with leadership, internal teams, vendors, volunteers, production staff, and on-site personnel.
• Research and arrange venues, catering, entertainment, transportation, accommodations, equipment, décor, security, and other event necessities.
• Solicit vendor quotes, evaluate options, coordinate contracts, and maintain vendor relationships.
• Monitor event budgets, expenses, invoices, payments, and financial records.
• Handle event registrations, RSVPs, guest lists, invitations, confirmations, and communications with attendees.
• Coordinate speakers, special guests, VIPs, performers, and other event participants.
• Arrange travel and accommodations for speakers, leadership, guests, and event participants as necessary.
• Oversee event calendars to ensure deadlines, milestones, and deliverables are met punctually.
• Coordinate production needs including audio, video, lighting, presentations, signage, graphics, and other event elements.
• Review upcoming production components and confirm that requirements are met and accessible.
• Regularly communicate with leadership about event status, outstanding items, potential issues, and approaching deadlines.
• Maintain organized digital files containing contracts, schedules, vendor information, event assets, and planning documentation.
• Prepare and present event checklists, agendas, reports, and status updates for leadership's review.
• Audit event assets and production materials for accuracy prior to scheduled events.
• Identify potential event risks or logistical challenges and proactively develop solutions.
• Assist with event promotion through social media, email, and other digital platforms.
• Work in conjunction with marketing and media teams to ensure promotional materials and event messaging are accurate and delivered on time.
• Coordinate post-event follow-up including communications with attendees, vendor engagement, feedback collection, and performance evaluations.
• Assess event outcomes and identify areas for enhancing future experiences.
• Maintain templates, workflows, checklists, and standard operating procedures for recurring events.
• Stay updated on event trends, technologies, vendors, and audience engagement strategies.
• Undertake additional event planning, administrative, and project coordination tasks as assigned.
• A minimum of 2.5 years of demonstrated experience in event management, event planning, project management, event production, or a related field.
• Proven track record in planning and coordinating conferences, corporate events, community gatherings, productions, or large-scale experiences.
• Strong organizational and project management capabilities.
• Experience managing multiple events and deadlines concurrently.
• Proficiency in coordinating vendors, venues, production teams, speakers, and event participants.
• Solid understanding of event logistics, timelines, budgets, and production needs.
• Excellent written and verbal communication abilities.
• Meticulous attention to detail and a commitment to providing high-quality experiences.
• Experience in creating event schedules, checklists, run-of-show documents, and project plans.
• Proficient in Microsoft Office, Google Workspace, Zoom, project management platforms, and virtual collaboration tools.
• Familiarity with event registration, ticketing, or event management platforms is a plus.
• Strong problem-solving and decision-making skills.
• Ability to remain composed and organized when priorities or event requirements shift.
• Self-motivated with the capacity to work independently in a fully remote setting.
• Professional, reliable, resourceful, and comfortable working closely with leadership.
• Experience supporting nonprofit, church, community, entertainment, conference, or event-based organizations is preferred but not required.
