This is a fully remote position, open to applicants in California.
• Take complete ownership of three annual staff retreats, managing everything from venue selection and negotiations to budgeting, travel arrangements, room assignments, dietary requirements, session logistics, and on-site assistance.
• Organize and facilitate research and benchmarking team events, which encompass expert symposiums, workshops, and sessions with invited speakers.
• Coordinate podcast recordings, including scheduling, guest arrangements, venue selection, and recording logistics.
• Manage event budgets and establish repeatable processes, such as checklists, timelines, and templates for efficiency.
• Determine which event tasks should be managed in-house and which should be outsourced.
• Source and oversee vendors and contractors to ensure successful event execution.
• Create engaging event experiences by designing agendas, spaces, and details that promote connection, comfort, energy, and productivity.
• Participate actively in events, taking on hands-on responsibilities as needed.
• Supervise supporting personnel, primarily contractors, should the function expand.
• Lead the events function and broader live activities as the organization continues to evolve.
• Proven track record of organizing events from start to finish, preferably including multi-day retreats, conferences, or workshops.
• Experience in negotiating with venues, managing budgets, and resolving on-site issues effectively.
• Strong understanding of what makes gatherings engaging and effective.
• Ability to independently manage projects without a defined playbook and devise innovative solutions.
• Proactively seek and integrate feedback in a timely manner.
• Capable of providing clear and constructive feedback, including to supervisors.
• Naturally organized and detail-oriented.
• At least two years of relevant work experience in environments with multiple moving parts.
• Exceptional written and verbal communication skills.
• Comfortable engaging in direct and empathetic communication.
• Enthusiastic about working in a fast-paced, startup-like environment.

• Willingness to travel as required.
• Proficient in professional-level English.
• Familiarity with AI developments is a plus but not mandatory.
• Annual salary ranging from $125,000 to $140,000 USD.
