This is a fully remote position, open to applicants in United States.
• Oversee comprehensive operational coordination for significant external sponsorships and industry trade shows.
• Handle vendor communications, booth design, graphic specifications, compliance logistics, and the sourcing and distribution of promotional items.
• Manage event budgets and engage in negotiations with vendors.
• Create and produce invitations, landing pages, promotional emails, social media posts, on-site materials, and follow-up sequences after events.
• Generate post-event recap materials, which include summary emails, LinkedIn posts, highlight videos, and relevant case studies.
• Develop cross-departmental service level agreements (SLAs), pre-event advertising strategies, account-matching lists, and post-event outreach sequences.
• Collaborate with Sales and Demand Generation to ensure that event contacts are engaged in sales discussions within 24 hours.
• Research, conceptualize, and execute micro-roundtables and exclusive VIP executive dinners.
• Manage negotiations for venues, curate culinary experiences, conduct guest-list outreach, and oversee on-site execution.
• Oversee event lead capture and ensure that attendee data is accurately entered into HubSpot with appropriate source attribution.
• Report on cost-per-opportunity for each activation.
• Work in tandem with Marketing and Sales to ensure events align with pipeline and business objectives.
• Utilize AI tools for research, synthesis, analysis, drafting, and exploration.
• Develop a repeatable event playbook and assess which activations warrant repetition.
• Minimum of 3–5 years of experience in organizing events that drive conversions.
• Familiarity with event logistics, vendor negotiations, and field marketing strategies.
• Proven experience in personally managing and executing in-person B2B events within the North American market.
• Knowledge of North American conference circuits, sponsorship pricing and negotiation, venues, vendors, and buyer expectations.
• Experience in the European market is advantageous.
• Background in B2B SaaS or software marketing is preferred.
• Capability to autonomously manage successful B2B events and sponsorships.
• Understanding of event metrics and tracking cost-per-opportunity.
• Ability to establish systems for lead follow-up within a 24-hour timeframe.
• Proficient in utilizing AI tools for research, analysis, drafting, and prototyping; AI fluency is essential.
• Exceptional written communication skills.
• Comfortable engaging in asynchronous communication.
• Willingness to travel approximately eight to nine times a year, primarily for events in North America and some in Europe.
• Primary working location must fall between UTC-5 and UTC+2.
• Annual salary review based on both company and individual performance.
