Events and Operations Associate

This is a fully remote position, open to applicants in United States, +1 more state.

📋 Description

• Manage the complete logistics for team offsites, conference participation, Tech Talks, dinners, and hosted CEO meetings.

• Facilitate post-event follow-up by documenting details, summaries, and insights in a single source of truth.

• Organize the CEO’s travel and scheduling using efficient, agent-first systems.

• Offer comprehensive operational support, including executing onboarding processes, refining documents and communications, and establishing the San Francisco office presence.

• Collaborate directly with the CEO and Chief of Staff.

• Coordinate events such as NeurIPS, ICLR, ICML, and Tech Talks.

• Proven track record of impeccable execution and dependable follow-through.

• Demonstrated ability to manage events from start to finish, including venue selection, logistics, budgeting, vendor management, and on-the-day execution.

• Systems-oriented mindset aimed at creating repeatable, self-sustaining processes.

• Flexibility to switch functions within a small, fast-paced team.

• Excellent written communication and documentation abilities.

• High level of discretion when interacting with founders and executives.

• Proficient in English, both written and spoken, at a professional level.

• Comfortable collaborating across time zones with a diverse, distributed team.

• Nice to have: experience in coordinating conference participation or side events in tech, AI/ML, research, or crypto sectors.

• Nice to have: practical experience utilizing AI tools and agents to streamline workflows.

• Nice to have: background in an early-stage startup during periods of rapid growth or fundraising.
