This is a fully remote position, open to applicants in Pennsylvania.
• Organize client-facing events such as conferences, networking gatherings, and client excursions.
• Arrange internal company events, including holiday celebrations, summer parties, retreats, and special occasions.
• Collaborate with various departments, including Marketing, Business Development, Facilities, IT, Legal, Procurement, and Accounting.
• Research and suggest venues, catering options, décor, entertainment, promotional materials, and event vendors.
• Maintain relationships with external vendors and identify potential new vendors.
• Oversee contract reviews, payment schedules, vendor deadlines, approvals, compliance documentation, and event records.
• Manage sponsorship benefits, attendee registration, booth requirements, deliverables, material shipping, setup, and dismantling.
• Keep the marketing events calendar updated and track deadlines, sponsorship commitments, and milestones.
• Create event invitations, reminder emails, registration communications, follow-up messages, and client outreach in collaboration with the Content Specialist.
• Develop event graphics and publish attorney speaking opportunities alongside the Marketing Specialist.
• Maintain event records in the CRM and marketing databases, tracking RSVP status and follow-up activities.
• Administer the Uber account and the administration page for the Navan travel program.
• Monitor and report on event ROI, including attendance, client participation, leads, follow-up activities, and business development results.
• Track expenses and reconcile invoices for approval.
• Manage multiple projects, adhere to deadlines, enhance processes, ensure event quality, and achieve measurable outcomes.
• Develop, document, and uphold event planning procedures, efficiencies, and best practices.
• Bachelor’s degree in Marketing, Communications, or a related field.
• 3–5 years of experience in event planning, marketing, business development, or a related area.
• Willingness to travel as necessary, including occasional evenings and weekends.
• Must be located near a major airport hub, preferably on the East Coast.
• Familiarity with Monday.com, Nexl, Canva, or similar MarTech platforms is preferred but not mandatory.
• Experience in managing event budgets, vendor contracts, and sponsorship deliverables is preferred.
• Background in a professional services environment is desirable.
• Legal experience is a plus but not essential.
• Strong organizational and project management abilities are required.
• Proficiency in Microsoft Office Suite is mandatory.
• Exceptional written and verbal communication skills are essential.
• Opportunity and willingness to travel to events to offer logistical support.
