This is a fully remote position, open to applicants in Australia.
• Oversee program management from initiation to completion, ensuring that program goals and objectives are met or exceeded.
• Collaborate with suppliers, develop cost estimates for budgeting, and manage program execution and reconciliation.
• Lead introductory calls to engage clients and understand their meeting needs, emphasizing the program's goals and objectives.
• Recommend destinations; submit RFPs via Cvent for a varied clientele while considering program goals, budget, and spatial requirements.
• Generate precise documents and reports for clients and vendors in line with account requirements.
• Conduct successful vendor negotiations and manage contract execution, including terms, deadlines, cost savings, and concessions for hotels, venues, ground transportation, DMC, audio-visual production, food & beverage, optional activities, and other suppliers vital to the program's success.
• Ensure timely execution of contracts between parties.
• Provide the meeting owner/requester with a comprehensive summary of all terms, deadlines, total costs, and deposits to achieve program timelines and deadlines.
• Accurately record budget, costs, savings, and contract execution in Cvent or relevant technology.
• Willingness to travel on-site for programs as required.
• Manage program reconciliation, invoicing, accounts payable, and receivables for each program as needed.
• Offer proactive, professional recommendations to clients based on industry expertise.
• Secure repeat business opportunities.
• Utilize time tracking for precise project billing.
• Perform additional duties as assigned.
• A high school diploma or equivalent is mandatory.
• At least five (5) years of experience in event or meeting planning is required.
• CMP and/or CMM certification is preferred.
• Proficient in the Microsoft Office Suite.
• Basic mathematical skills are necessary.
