This is a fully remote position, open to applicants in United Kingdom.
• Oversee venue, food and beverage, and operational tasks for assigned shows and conferences.
• Direct pre-planning, onsite execution, and post-event evaluations for conferences, meetings, and events.
• Administer event budgets, track revenue and expenses, and project financial outcomes.
• Coordinate with contractors, venues, catering, banquet services, audio-visual, production, security, registration, and other event-related services.
• Negotiate and manage venue tenancy contracts and agreements with general contractors.
• Establish and maintain communication with exhibitors and sponsors, addressing operational challenges.
• Develop sponsor tracking documents, verify fulfilment against contracts and floorplans, and price sponsor fulfilment items and activations.
• Assist with event registration, lead retrieval systems, staffing, and managing registration lists.
• Plan and implement audio/visual and production needs.
• Conduct site visits, prepare agendas, and generate post-visit reports.
• Oversee operations timelines, show orders, communications with venues and vendors, floorplans, signage, and attendee journey mapping.
• Manage sleeping room blocks and travel and hotel arrangements.
• Handle event sustainability and update carbon-emissions data in the Trace system.
• Coordinate exhibitor and attendee registration alongside the Registration Manager.
• Administer onsite and offsite event functions, including exhibit halls, meeting rooms, networking events, yoga, and wellbeing sessions.
• Travel domestically and internationally and work overtime as necessary for events and client meetings.
• Ensure compliance with health and safety standards, maintain master event files, and provide regular financial and logistical reports.
• Offer ideas and assistance to the Operations Director in planning, budgeting, and execution.
• At least 3 years of experience in event production, hospitality, or high-end meeting/conference planning.
• Proficient in using personal computers and MS Office.
• Experience with cost management and budget responsibilities.
• Critical experience in contract negotiations and implementation.
• Background in hotel and/or banquet sales or facilities management and planning.
• Willingness to travel is required.
• Strong interpersonal, time-management, and organizational capabilities.
• Ability to manage multiple tasks and follow directions.
• Highly detail-oriented, with problem-solving and conflict-resolution skills.
• Preferred experience in staff management for training, motivating, and developing team members.
• Capability to delegate tasks and handle stress effectively.
• Strong customer-service orientation.
• Exceptional written and verbal communication abilities.
• Excellent team-player qualities and ability to collaborate effectively with others.
• Must have authorization to work in the UK without sponsorship, both now and in the future.
