This is a fully remote position, open to applicants in United States.
• Take ownership of the complete project lifecycle for Editorial Team initiatives, from inception to delivery, utilizing the waterfall project management methodology.
• Create and sustain comprehensive project plans using Smartsheet, detailing timelines, milestones, task hierarchies, responsibilities, and deadlines; update plans daily to reflect progress and any modifications.
• Monitor workload distribution within the Editorial Team and highlight capacity issues to ensure balanced scheduling.
• Act as the team's dependable source of information regarding project status, guaranteeing colleagues have full visibility into historical data, outstanding items, and upcoming deadlines.
• Organize and lead project meetings (kickoffs, status updates), craft agendas, and disseminate notes, decisions, and action items to relevant parties.
• Manage daily project workflows including file organization, naming protocols, version control, and document transfers.
• Proactively identify risks and bottlenecks before they escalate; communicate concerns to the Managing Editor along with suggested solutions.
• Produce regular reports and status updates that highlight project health and keep the Managing Editor and leadership informed.
• Assist the Managing Editor in assessing and enhancing the processes and documentation that govern Editorial Team workflows.
• Review and help update team documentation - encompassing guidelines, checklists, templates, and task descriptions - to ensure accuracy and accessibility.
• Aid in the implementation of new or revised processes, providing training to team members as necessary.
• Help evaluate the team's utilization of tools (Smartsheet, Google Docs) and identify opportunities for increased efficiency.
• A bachelor’s degree in a relevant discipline, or an equivalent combination of education and experience.
• 3–5 years of project management experience, preferably in a publishing, editorial, or education-related environment; candidates with 5+ years are strongly preferred.
• Proven ability to manage multiple complex projects at once with competing priorities and a history of timely delivery.
• Strong proficiency in Smartsheet or a similar project management tool (Asana, Monday.com, Microsoft Project); candidates without Smartsheet experience who demonstrate quick, independent software learning will be considered.
• Expertise in Google Workspace (Docs, Drive, Gmail: essential tools for day-to-day Editorial Team activities).
• Excellent written and verbal communication skills, with the capability to convey information clearly and professionally to internal team members, leadership, and external stakeholders.
