This is a fully remote position, open to applicants in Pennsylvania.
• Provide administrative support to enhance the efficiency of the Editorial Services department.
• Oversee editorial programs, including Veeva Vault.
• Conduct permissions, reference maintenance, proofreading, copy editing, and other fundamental editorial tasks.
• Acquire, track, and prepare assets for advertising and medical communications from copyright holders and reference vendors.
• Establish submission trackers for congress and journal submissions.
• Prepare annotated deliverables for upload into Veeva Vault for client medical/legal/regulatory review.
• Act as the internal resource for Veeva Vault.
• Maintain client/project reference folders on company servers and Veeva Vault, which includes entering/uploading references, troubleshooting, and assisting/training colleagues.
• Support editors with project-specific responsibilities as needed.
• Collaborate closely with Editorial Services, Medical Services, and Project Management departments.
• Bachelor’s degree.
• Proficiency in operating and maintaining electronic database systems.
• Familiarity with Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
• High level of integrity, confidentiality, and accountability.
• Exceptional organizational skills and attention to detail and timelines, ensuring a high degree of accuracy.
• Strong understanding of grammar and essential writing skills.
• Professional written and interpersonal communication skills.
• Capability to coordinate, take ownership of responsibilities, and execute multiple tasks in a fast-paced environment.
• Ability to gather relevant information from a variety of sources and maintain accurate records.
• Proficiency in mastering various content management systems.
• Willingness to commit to extra and/or nontraditional hours as client needs arise.
• Previous work experience that necessitated multitasking and organizational skills is preferred.
• Experience with electronic database entry and management is preferred.
• Familiarity with Veeva Vault is preferred, though training will be provided.
• Previous medical editing experience is a plus.
