This is a fully remote position, open to applicants in Mexico.
• Manage deadlines, submit materials, and both plan and coordinate timelines for significant global and regional events.
• Organize internal team involvement and preparation for events, including creating briefing materials and conducting debrief sessions.
• Oversee project timelines and ensure follow-ups on essential tasks, such as stakeholder outreach and internal deliverables.
• Assist in event organization by inviting and coordinating panelists, tracking submissions, and ensuring prompt responses from staff and participants.
• Facilitate internal project tracking and team check-ins to guarantee progress and accountability.
• Arrange travel logistics, especially for the Senior Director and representatives attending international events.
• Support scheduling of internal meetings, development of agendas, and note-taking for team and collaborative sessions.
• Create briefing materials and ensure timely access to relevant documents for meetings, events, and stakeholder engagements.
• Organize and maintain current records and documentation across platforms and systems, including presentations and annual reports, ensuring accessibility, version control, and clear labeling.
• Ensure materials are well-organized and easily accessible to enhance internal coordination and external communications.
• Coordinate internal communications to keep team members informed and aligned on priorities, updates, and deadlines.
• A minimum of 3-5 years of professional experience.
• Bachelor’s degree in Sustainability, Planning, Policy, Communications, or a related field of study.
• Strong project management, organizational, and time management skills, with the ability to manage multiple priorities.
• Excellent and proactive communication and interpersonal skills, with experience interacting with high-level stakeholders in a fast-paced environment.
• Detail-oriented, capable of tracking deadlines, following up on key tasks, and maintaining well-organized records.
• Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and SharePoint.
• Experience in event coordination, international partnerships, or stakeholder engagement in an international context.
