This is a fully remote position, open to applicants in United States.
• Oversee the daily operations of the Medical Admissions Consulting (MAC) program.
• Supervise admissions experts and editors, which includes onboarding, guidance, performance management, scheduling, workload distribution, and escalation of personnel issues.
• Assist in recruitment by identifying staffing requirements, screening and interviewing candidates, and onboarding new team members.
• Establish and evaluate performance standards for advising delivery, response times, timelines for deliverables, and scheduling criteria.
• Assess service quality through student feedback, observation of meetings, and audits of responses, while providing coaching as needed.
• Address customer service escalations and maintain communication with students, parents, and family members.
• Collaborate with Enrollment and Sales teams to address MAC inquiries and eliminate barriers to conversion.
• Supervise the advising workflows throughout the admissions cycle, including student onboarding, goal setting, monitoring progress, and ensuring completion of deliverables.
• Manage deferrals, transitions between cycles, re-applicant strategies, and guidance for gap years with designated experts.
• Develop and maintain admissions benchmarks utilizing AMCAS, AACOMAS, and TMDSAS data.
• Keep track of client status, service tiers, deliverable stages, and engagement records to aid in retention and capacity planning.
• Create dashboards and reports to monitor program health, capacity, bookings, churn rates, and customer experience metrics.
• Offer data-driven insights for capacity planning, sales forecasts, and operational decision-making.
• Assist in the maintenance of admissions dashboards and workflow tools by testing updates, reporting issues, and supporting user adoption.
• Oversee expert/editor workloads, assignments, student lists, distribution of caseloads, and annual booking projections.
• Support cross-department initiatives and produce MAC marketing materials.
• Work with leadership to enhance MAC offerings, resources, and content.
• Maintain standard operating procedures (SOPs), operational systems, workflows, and templates.
• Conduct quality checks on student-facing deliverables prior to release.
• Manage enrollments, escalations, cancellations, refunds, and documentation for dispute cases.
• Compile executive summaries of services provided by cross-referencing HubSpot logs, advisor emails, and advising records.
• Prior experience in leading or managing a medical school admissions program is highly preferred.
• Strong familiarity with the medical school application process, application systems, and the student journey from initial application to admission.
• Demonstrated experience in people management, preferably in service, educational, or customer-facing environments.
• Ability to handle HR and customer service scenarios directly.
• Working knowledge of AMCAS, AACOMAS, TMDSAS, or the capability to quickly learn these systems.
• Proficient in data tracking and visualization tools, including spreadsheets and dashboards.
• Comfortable in gathering and organizing data from various external sources.
• Familiar with AI tools such as Claude and ChatGPT, with a willingness to utilize them to enhance workflows and analyze data.
• Strong organizational skills and experience managing SOPs, documentation, and quality assurance processes.
• Exceptional written and verbal communication skills with students, parents, and cross-functional teams.
• Experience in capacity planning, scheduling, and coordinating a team of contributors.
