This is a fully remote position, open to applicants in Massachusetts.
• Lead the planning and implementation of designated US and international congresses, national gatherings, and internal corporate events.
• Oversee venue selection, transportation, catering, room configurations, registration, accommodations, audiovisual services, and attendee communications.
• Provide comprehensive management of standalone meetings and ancillary events.
• Develop and oversee event budgets, monitor expenses, process invoices, and maintain financial reporting.
• Assist in forecasting, reconciliation, and budget planning in collaboration with Finance and leadership.
• Manage meeting agencies, congress partners, venues, and third-party service providers.
• Facilitate vendor selection, contract negotiations, and performance evaluations.
• Supervise event preparedness, agendas, meeting materials, registration, attendee management, and onsite logistics.
• Deliver onsite leadership for key events and address operational challenges.
• Coordinate booth management, meeting spaces, speaker assistance, registration services, and event breakdown.
• Aid in attendee communications, event marketing, and registration initiatives.
• Ensure adherence to healthcare regulations, industry standards, company policies, and HCP spending requirements.
• Monitor event activities and maintain documentation, approvals, and reporting.
• Identify and mitigate operational and compliance risks.
• Conduct post-event assessments, analyze metrics and attendee engagement, and enhance future programs.
• Develop scalable processes, tools, and best practices for the Meetings & Events function.
• Bachelor's degree in Hospitality Management, Event Management, Marketing, Communications, Business Administration, or a related field is required.
• A minimum of 7 years of experience in planning and executing meetings, congresses, and events within the pharmaceutical, biotechnology, or healthcare sectors.
• Proven track record in managing global events and collaborating with international stakeholders and vendors.
• CMP, CMP-HC, CMM, or a similar certification is preferred.
• Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
• Experience with event management platforms such as Cvent, ExhibitForce, or equivalent meeting technologies.
• Familiarity with budget management, registration systems, and event analytics tools.
• Ability to influence and work collaboratively across diverse stakeholder groups in a dynamic environment.
• Experience managing complex, cross-functional initiatives with various priorities.
• Exceptional organizational and project management abilities; capability to handle multiple events concurrently.
• Strong prioritization skills, ability to meet deadlines, and deliver results under pressure.
• Excellent verbal, written, and interpersonal communication skills.
• Ability to engage effectively with senior leaders, healthcare professionals, vendors, and cross-functional teams.
• Resourceful and proactive attitude towards challenges and problem resolution.
• Experience in negotiating vendor contracts and managing event budgets.
• Keen attention to detail and dedication to operational excellence.
• Experience in planning and managing meetings across various geographies and cultures.
• Ability to work effectively with global stakeholders, vendors, and service partners.
• Proficiency in additional languages is valued but not mandatory.
• Remote work arrangement.
• Salary range of $200,000–$250,000 per year.
• Additional language proficiency is valued.
