This is a fully remote position, open to applicants in Illinois.
• Identify and prioritize events. Conduct research, assess, and suggest tradeshows, conferences, and industry gatherings that correspond with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a rolling 12-month event calendar.
• Negotiate and contract. Cultivate relationships with event organizers, vendors, and venues. Secure sponsorships, booth space, speaking engagements, and additional services to maximize every investment.
• Plan and execute from start to finish. Manage all aspects, including booth design and logistics, promotional items, marketing materials, lead capture systems, badge scanners, audiovisual needs, catering, hotel accommodations, and travel arrangements for the team.
• Serve as the on-site point of contact. Attend each event in person. Set up and dismantle booths, address issues on the spot, and ensure our presence is polished from beginning to end.
• Prepare the team. Brief attending members on goals, key talking points, target accounts, and logistics. Ensure everyone is aware of their roles and schedules.
• Drive pipeline generation with sales. Collaborate with the sales team to schedule pre-show meetings, host dinners, and customer events on-site, ensuring all leads are captured, qualified, and promptly followed up on.
• Manage pre- and post-event campaigns. Partner with marketing on email outreach, landing pages, paid promotions, and social media to boost booth traffic and meeting bookings prior to the event.
• Oversee the budget. Administer event expenditures throughout the calendar year. Monitor costs, provide accurate forecasts, identify risks early, and make informed trade-off decisions as priorities evolve.
• Establish KPIs and report on outcomes. Define clear KPIs for each event (leads, meetings, pipeline, ROI) and create concise post-event reports that analyze successes, challenges, and areas for improvement.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.
• Proven history of managing events from inception to completion, even at a smaller scale. You can reference events you organized and the outcomes achieved.
• Experience in managing an events budget. You understand how to forecast, monitor expenditures, and make trade-offs to optimize ROI.
• Proficient in defining KPIs and creating reports that link event activities to pipeline and revenue.
• A genuine interest in AI and its application for enhanced efficiency. You can demonstrate specific projects, tools, or workflows where you have leveraged AI to automate or improve your performance as an events marketer (research, vendor outreach, post-event analysis, content creation, lead enrichment, etc.). This is essential.
• Basic familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You excel at keeping track of timelines, budgets, vendors, and numerous moving components without oversight.
• Comfortable negotiating with vendors and event organizers to secure the best agreements.
• Excellent communication skills, both written and verbal. You can motivate a team, brief executives, and engage prospects on the show floor with ease.
• Composed under pressure. Events can present challenges; you are adept at problem-solving on the fly.
• Willing and able to travel 30 to 50% during peak event seasons across North America, with possible travel to Europe as we grow.
