📋 Description

• The Data Privacy Operations Associate is instrumental in supporting the Global Data Privacy department by engaging in a diverse array of privacy, regulatory, and compliance initiatives.

• This role entails aiding with data privacy issues, reviewing contracts, and managing governance processes, while ensuring adherence to relevant laws and organizational policies.

• Oversee and manage Data Processing Agreements.

• Collect information regarding both existing and new data processing activities, including client and vendor agreements.

• Manage, track, index, and oversee the status of all current data processing and new contracts that involve privacy issues or personal information.

• Organize, track, and manage privacy-related requests for information (RFI) and client questionnaires.

• Gather necessary information from other departments to assist the Data Protection Officer (DPO) in documenting ACM’s privacy program.

• Aid in updating ACM policies, procedures, and training materials pertinent to the management of personal information; maintain a comprehensive index of privacy program materials; and interview team members regarding their current practices.

• Support various projects to ensure ACM’s compliance with applicable privacy laws.

• Collaborate with cross-functional teams to help revise data retention policies and procedures; assist in the maintenance of ACM’s data inventory; and help the business comprehend and implement new legal requirements.

• Assist the DPO in managing data subject access requests or data privacy litigation issues by compiling, reviewing, and organizing essential documentation.

• Monitor ACM's data privacy data mapping and assessments, ensuring alignment with current data privacy regulations.

• Collaborate with legal and compliance team members, as well as the Information Security team, to support ACM’s Privacy Impact Assessment process and other projects related to privacy and legal matters.

• Provide comprehensive administrative and executive support to the Global Data Privacy Officer (DPO), including coordinating calendars, preparing for meetings, organizing documents, scheduling, tracking follow-ups, and managing confidential materials.

• Coordinate cross-functional meetings, maintain project timelines, track deliverables, and ensure the timely execution of privacy and compliance initiatives.

• Utilize AI-enabled productivity and research tools to assist with document reviews, legal research, workflow organization, meeting summaries, data analysis, and administrative efficiencies while upholding confidentiality and compliance standards.

• Develop and sustain organized filing systems, tracking tools, spreadsheets, dashboards, and status reports to enhance operational efficiency and facilitate executive-level reporting.

• Conduct routine and specialized legal and factual information research and data compilation.

• Assist with regulatory research and external communications concerning legal matters.

• Support other projects and responsibilities as assigned.


⛳️ Requirements

• A Bachelor’s degree or paralegal certificate is required.

• A minimum of 3 years of experience in corporate administration, secretarial roles, or as a legal paralegal.

• One or more certifications from the International Association of Privacy Professionals (IAPP) are highly preferred: CIPP/US, CIPP/E, CIPM, CIPT, and/or AIGP (Artificial Intelligence Governance Professional).

• Proficient in modern office software (MS Word, Excel, PowerPoint, SharePoint).

• Experience with electronic research/database tools such as OneTrust and Westlaw.

• Outstanding oral and written communication abilities.

• Strong organizational skills with the capacity to effectively manage multiple tasks and priorities.

• A solid background in compliance, privacy, or a related clinical trial field.

• Comprehensive understanding of GDPR, CCPA/CPRA, and general data protection principles.

• Demonstrated skills in project management and research.

• Experience in AI governance, responsible AI, or emerging AI regulatory compliance is strongly preferred.
