This is a fully remote position, open to applicants in Massachusetts.
• Act as a vital resource, assisting multiple Operations Managers with up to 25 program itineraries across various product lines and types.
• Oversee and balance numerous timelines and deadlines concurrently, ensuring precision, organization, and timely fulfillment of program requirements.
• Take charge of coordinating and confirming program logistics independently, including hotel arrangements, field trips, transfers, meals, special needs, and additional staff for over 25 assigned programs.
• Aid in the negotiation and management of contracts and agreements for services, adhering to the budgets set for each program and vendor.
• Responsively handle complex customer service inquiries with clear and prompt communication, addressing program-related questions and special requests.
• Prioritize delivering effective solutions while supporting and motivating participant enrollments.
• Conduct daily analyses of enrollments and space allocations within programs, ensuring optimal capacity usage in alignment with contractual deadlines.
• Independently evaluate and resolve program-related issues by reviewing, troubleshooting, triaging, and implementing necessary adjustments before and during program execution; exercise sound judgment to determine when to escalate more complex situations.
• Assist in pre-program briefings with on-site staff.
• Conduct post-program reviews and reconcile financial details and invoices for vendors, staff, and other program expenses.
• Collaborate closely with the Program Administration and Program Services teams to ensure timely and accurate creation and distribution of materials and reports.
• Develop in-depth knowledge of program content and destinations to become a go-to resource for assigned regions.
• Required to attend and work on specific programs related to this role.
• Capable of managing and maintaining work across multiple systems.
• Moderate travel and some evening and weekend work may be necessary.
• Additional responsibilities may be assigned.
• Bachelor's Degree preferred or equivalent experience.
• Organized professional with 1-2 years of relevant experience.
• Proactive, motivated individual who is results-driven.
• Experience in a fast-paced business setting with the capability to manage multiple or competing priorities and meet tight deadlines.
• Strong relationship management skills focused on proactively identifying and resolving issues in collaboration with both internal and external stakeholders.
• Essential analytical skills and a keen attention to detail.
• Excellent verbal and written communication, interpersonal, and problem-solving abilities.
• Ability to work collaboratively within a multi-functional team environment.
• Strong technical skills; comfortable operating in a complex environment.
