This is a fully remote position, open to applicants in Philippines.
• Perform conflict checks and initiate new cases in the practice management system.
• Dispatch engagement letters and fee estimates to prospective clients.
• Execute AML/CFT verification, including identity verification, proof of address, and source of funds documentation.
• Draft legal documents based on verbal and written instructions, such as sale and purchase agreements, loan agreements, and minutes for companies and trusts.
• Compose correspondence and client communications as instructed by partners and solicitors.
• Oversee commercial and residential conveyancing transactions from conditions through to final settlement.
• Provide advice on and monitor conditions such as financing, LIM, builder's reports, and due diligence.
• Negotiate modifications to agreements when necessary.
• Gather instructions to verify satisfaction or waiver of conditions, including finance and insurance coverage.
• Communicate with internal staff and third parties regarding the status of conditions.
• Prepare settlement statements and solicit mortgage instructions from lenders.
• Organize the signing of loan and authority documents.
• Collaborate with lenders and the vendor's solicitor to finalize settlement arrangements.
• Carry out pre-settlement title searches and confirm that funds are available in the trust account.
• Inform clients and agents of successful settlements.
• Issue reporting letters and final transaction documents to clients.
• Conduct trust account reconciliation.
• Liaise with banks, insurance companies, Land Information New Zealand (LINZ), and local authorities on behalf of clients, partners, and solicitors.
• Prepare invoices and statements for clients.
• Maintain precise file notes and ensure timely follow-up on outstanding matters.
• Close completed files according to firm procedures.
• Complete company annual returns and resolutions.
• Conduct title searches and manage LINZ registrations.
• Execute any other tasks assigned by the Partners as needed.
• At least 2 years of experience in a conveyancing or property law setting, preferably within New Zealand.
• Comprehensive working knowledge of the New Zealand conveyancing process, including LINZ dealings and e-dealing platforms.
• Familiarity with AML/CFT compliance procedures.
• Proficient in Microsoft Word (advanced), Outlook (advanced), and Excel (intermediate), with a working knowledge of legal practice management software.
• Keen attention to detail with the capacity to handle multiple files and deadlines concurrently.
• Exceptional written and verbal communication abilities, demonstrating a professional and client-focused demeanor.
• Capability to take clear instructions from partners, solicitors, and clients and execute them independently.
• A legal studies qualification or equivalent practical experience is preferred.
