This is a fully remote position, open to applicants in United States.
• Oversee a designated portfolio of around 100 active service vendors.
• Act as the main point of contact and escalation for any vendor-related issues.
• Prepare, review, execute, and manage vendor contracts, amendments, and service agreements.
• Handle contract renewals, updates, terminations, and documentation management.
• Ensure that contract terms, rates, and service scopes are properly documented and upheld.
• Supervise vendor adherence to insurance, Certificates of Insurance (COIs), bonding, licenses, and regulatory standards.
• Organize background checks, drug testing, audits, drills, and necessary testing requirements.
• Identify and address compliance deficiencies to reduce liability and operational risk.
• Evaluate vendor performance against Service Level Agreements (SLAs) and quality benchmarks.
• Monitor service quality, response times, callbacks, billing accuracy, and customer satisfaction levels.
• Facilitate vendor performance evaluations and discussions on corrective actions.
• Develop improvement plans with internal teams and vendors.
• Manage vendor payments and resolve any invoicing or billing discrepancies with the Finance team.
• Assist in rate negotiations, cost assessments, and cost-reduction strategies.
• Track expenditure trends, discounts, rebates, and opportunities for aggregation.
• Collaborate with Vendor Onboarding, Dispatch, Operations, Finance, and Accounts Payable teams.
• Relay risks, trends, and performance insights to leadership.
• Maintain vendor records, documentation, compliance tracking, and data integrity.
• Report on compliance status, performance metrics, and vendor risk management.
• Reports to a manager who oversees Contracts & Compliance Administrators.
• Minimum of 5 years of experience in vendor administration, vendor management, contract administration, or supplier management.
• Experience in managing a large portfolio of external vendors or service providers.
• Strong comprehension of contract lifecycle management and compliance obligations.
• Practical knowledge of insurance, COIs, licensing, and vendor risk management.
• Demonstrated ability to manage multiple priorities in a dynamic, high-volume environment.
• Excellent communication and negotiation skills.
• Detail-oriented with robust documentation and follow-up abilities.
• Ability to effectively collaborate across operations, finance, and compliance teams.
• Preferred: experience in facilities management, maintenance, construction, or service-oriented industries.
• Preferred: familiarity with vendor management systems, contract management platforms, or compliance tools.
• Preferred: experience supporting audits, safety programs, or regulatory compliance initiatives.
• Preferred: involvement in vendor rate negotiations or cost-reduction efforts.
• High-speed internet connection with 150–300 Mbps download speed is required.
• A quiet, distraction-free workspace that is suitable for professional phone conversations and safeguarding customer information.
• Camera-on participation is required during meetings and training sessions.
• Workspace must support multiple screens and an ergonomic setup.
• A contingency plan for connectivity interruptions, including access to an alternate reliable location.
