This is a fully remote position, open to applicants in Philippines, +1 more state.
• Manage contracts with general contractors and vendors throughout the entire contract lifecycle.
• Monitor contracts during review and signature phases, ensuring timely completion through diligent follow-up.
• Keep organized records of contract progress and outstanding items.
• Act as the primary point of contact for inquiries related to contracts and compliance.
• Supervise and track change orders from general contractors across active projects.
• Follow up on outstanding change orders to mitigate project delays or potential cost overruns.
• Oversee the OCIP and CCIP insurance program processes.
• Facilitate subcontractor enrollment, monitor progress, and address any pending issues.
• Liaise with insurance teams and external stakeholders to finalize compliance documentation.
• Support the project accountant with tasks related to contracts, insurance, and compliance.
• Ensure accurate project setup in the accounting system.
• Communicate effectively with leadership, clients, legal counsel, and insurance teams.
• Engage in Microsoft Teams meetings and negotiation discussions.
• Collect outstanding information, resolve existing issues, and align stakeholders on subsequent steps.
• Maintain accurate, organized, and audit-ready records of contracts, change orders, and compliance documentation.
• Identify and rectify documentation gaps and discrepancies.
• A minimum of 3 years of experience in contract administration, project coordination, or a related field.
• Strong skills in identifying and resolving discrepancies related to contracts, compliance documents, and change orders.
• Exceptional written and verbal communication abilities.
• Highly organized with a proactive attitude toward follow-up, tracking, and managing deadlines.
• Capability to handle multiple contracts, tasks, and deadlines concurrently.
• Proficient in the Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
• Skilled in Adobe products, particularly Adobe Acrobat.
• Ability to work independently and take initiative while collaborating with the wider team.
• Must display strong attention to detail, verified through a skills assessment during the hiring process.
• Experience in the construction industry is preferred.
• Familiarity with OCIP and CCIP processes and insurance compliance is advantageous.
• Experience with CMiC or similar construction accounting and project management software is preferred.
• Proficiency in DocuSign or equivalent e-signature and document workflow platforms is preferred.
• Background in managing subcontractor compliance, enrollment, or insurance documentation is preferred.
