This is a fully remote position, open to applicants in Philippines.
• Oversee job costing in QuickBooks, ensuring accurate coding and tracking of all expenses to the appropriate job.
• Code invoices and keep precise cost records throughout the duration of each project.
• Maintain project budgets and forecasts in Excel, consistently comparing budgeted versus actual figures.
• Manage change orders from initiation through documentation and approval processes.
• Produce financial reports, cost forecasts, and variance summaries for review by ownership.
• Ensure that field team members accurately log their hours to the correct jobs in QuickBooks Time.
• Conduct weekly monitoring and auditing of time entries, identifying and rectifying any missing or incorrect records.
• Collaborate with field leads to resolve discrepancies and ensure clean, payroll-ready data.
• Develop accountability systems aimed at reducing errors in time tracking over time.
• Maintain project schedules and rolling three-week lookaheads for all ongoing projects.
• Coordinate work sequencing to minimize delays and ensure field teams operate efficiently.
• Track project progress against the schedule and proactively flag risks to ownership.
• Solicit bids and oversee the onboarding process for subcontractors.
• Issue subcontract agreements and monitor compliance with insurance, licensing, and documentation requirements.
• Manage communication and performance of subcontractors throughout project execution.
• Assist with bidding support, permit applications, utility coordination, and site setup logistics.
• Coordinate pre-construction approvals with stakeholders, including municipalities, HOAs, and clients.
• Ensure all required documentation and approvals are secured prior to the commencement of field work.
• Maintain organized and current project file systems in Google Drive.
• Track and manage RFIs, submittals, plan revisions, and change documentation.
• Ensure comprehensive project records are version-controlled and easily accessible.
• Conduct daily coordination check-ins with field teams to monitor progress and address issues.
• Track daily logs, material deliveries, and pending items across all active projects.
• Act as the remote operational hub linking field activities to documentation and financials.
• Provide clients with regular project updates in a clear and professional manner.
• Facilitate client meetings and cultivate strong, trust-based relationships throughout the project lifecycle.
• Proactively manage client expectations, particularly regarding schedule and budget adjustments.
• Oversee the creation, tracking, and completion of punch lists during project closeout.
• Coordinate closeout documentation, including as-builts, warranties, and final lien releases.
• Track and manage warranty obligations following project completion.
• Develop and continually refine tracking systems, templates, and workflows in Excel and Google Sheets.
• Identify process inefficiencies and implement effective solutions.
• Create reusable systems that can scale with company growth and lessen dependence on tribal knowledge.
• Support insurance-related projects and maintain necessary documentation for claims and compliance.
• Assist with estimating workflows and bid preparation as necessary.
• Learn and utilize Xactimate for insurance estimating, with prior experience preferred.
• 4 to 8 or more years of experience in construction project management or operations.
• Hands-on experience with QuickBooks job costing is highly preferred.
• Proficiency in QuickBooks Time or similar field time tracking software.
• Advanced skills in Excel and Google Sheets for budgeting, tracking, and reporting.
• Strong organizational skills with the ability to manage multiple projects concurrently.
• Excellent written and verbal communication skills for both client and team interactions.
• Ability to hold field teams accountable for time, documentation, and process standards remotely.
