This is a fully remote position, open to applicants in Philippines.
• Regularly interact with challenging construction site personnel, possessing the ability to joke and not take matters personally.
• Available to field calls after hours for site staff requiring assistance.
• Possesses a solid understanding of Canadian geography related to primary booking hubs, site locations, and office settings.
• Organize all travel arrangements for project personnel, including flights, accommodations, rental vehicles, camp lodging, and ground transport.
• Oversee workforce rotation schedules and ensure the accuracy of travel and mobilization tracking systems.
• Disseminate travel itineraries and logistical details to employees and project teams.
• Coordinate mobilization requirements for new hires, encompassing travel, accommodations, and onboarding logistics.
• Maintain logs of site communications, personnel rosters, emergency contact details, and travel documentation.
• Assist with the onboarding paperwork for site staff, scheduling orientation, and managing workforce administration including timesheet maintenance.
• Monitor and reconcile travel-related expenses, invoices, and charges from vendors.
• Act as a liaison with airlines, travel agencies, accommodation providers, camp services, and transportation vendors.
• Provide administrative support to project teams, including document control, data entry, reporting, and meeting organization.
• Ensure adherence to company policies, client specifications, and project-specific travel protocols.
• Aid in emergency travel modifications, schedule changes, and workforce logistics challenges as necessary.
• General oversight of project document control and submissions.
• Assist site and office management teams with various administrative and coordination responsibilities.
• A minimum of 3-5 years of experience in logistics, HR, and travel coordination.
• Experience in the construction sector is beneficial but not mandatory. Preference will be given to candidates with substantial experience in logistics and travel coordination.
