This is a fully remote position, open to applicants in Australia.
• Oversee daily data entry, transactions, and the reconciliation of bank accounts and credit cards in Xero.
• Receive, code, and process trade supplier invoices, ensuring that costs are correctly assigned to the appropriate build site/job codes.
• Generate client invoices based on stage-payment progress claims and track incoming payments.
• Onboard new suppliers, verify their bank details, process regular trade payments, and maintain records for the Taxable Payments Annual Report (TPAR).
• Calculate payroll, manage superannuation contributions, and prepare accurate figures for BAS/IAS lodgments.
• Handle the central company inbox, responding to general inquiries and directing supplier quotes or client emails to the appropriate team member.
• Serve as a primary contact for site supervisors, subcontractors, and suppliers to follow up on any missing delivery dockets or documentation.
• Compose formal correspondence, create contracts, and draft client variations using company templates as instructed by management.
• Maintain organized digital client folders, building permits, and project documentation in the company database.
• Provide assistance with general administrative tasks, minor scheduling, and overflow support to ensure the building pipeline continues to flow smoothly.
• A minimum of 2–3 years of dual experience in bookkeeping and administrative support within the Australian building, construction, or trade sectors.
• Advanced proficiency in Xero.
• Highly skilled in Microsoft Office 365 (Advanced Excel for data tracking/reconciliation, Word, Outlook, OneDrive, and SharePoint).
• Solid understanding of Australian construction workflows, basic GST rules for trades, and general office administration.
• Outstanding written and verbal communication skills in English, presented with a professional and confident demeanor.
• Excellent multitasking capabilities—able to momentarily pause data entry to address urgent administrative requests without sacrificing accuracy.
• Strong attention to detail and high integrity when managing sensitive financial information.
• Proven ability to effectively utilize Generative AI and automation tools to boost daily productivity, draft communications, and improve administrative processes.
