This is a fully remote position, open to applicants in Philippines.
• Oversee the entire commercial administration process from initial quotation to final invoicing.
• Generate precise customer quotations and ensure they are submitted promptly.
• Acquire and manage supplier pricing, along with preparing purchase orders.
• Handle project variations, progress claims, and final invoicing efficiently.
• Track job progress to guarantee that all commercial documentation is accurate and up to date.
• Collaborate with internal teams, suppliers, and stakeholders to ensure smooth progression of jobs through each phase.
• Maintain precise records and documentation for multiple active projects.
• Prioritize and manage numerous concurrent repair, maintenance, and replacement jobs while adhering to strict deadlines.
• Identify and address commercial administration challenges before they affect project delivery.
• Continuously enhance administrative processes to bolster operational efficiency.
• Ensure adherence to company procedures and commercial standards.
• Provide outstanding administrative support to the operations team while upholding a high level of accuracy.
• Demonstrated experience in managing commercial administration for a high volume of small to medium-sized jobs within an Australian trade, construction, maintenance, or service-oriented business.
• Proven experience in handling quotations, supplier pricing, purchase orders, variations, progress claims, and invoicing.
• Strong comprehension of commercial workflows, from job initiation to project completion.
• Exceptional organizational and time management abilities, capable of managing multiple priorities simultaneously.
• Remarkable attention to detail and a commitment to maintaining accuracy.
• Ability to work efficiently under pressure in a dynamic environment with shifting priorities.
• Excellent communication skills, with the confidence to interact professionally with suppliers, customers, and internal stakeholders.
• Highly proactive with strong problem-solving capabilities.
• Proficient in Microsoft Office, particularly Excel, and experienced with job management, ERP, CRM, or project management systems.
• Experience working with Australian businesses or familiar with Australian commercial processes is highly preferred.
• A background in high-volume service, maintenance, trades, facilities management, or construction administration is strongly preferred.
