Clinical Operations Specialist

This is a fully remote position, open to applicants in California, +8 more states.

📋 Description

• Take ownership of the clinical schedule development on an 8-week cycle, along with ongoing tasks between builds, which include processing call-outs, tracking future PTO requests, and ensuring coverage across various operating states.

• Manage sync visit setup, encompassing provider availability and appointment slots, standard scheduling, and updates for ad hoc call-outs.

• Review and authorize clinical payroll, including base hours, additional time, and differentials.

• Assist with daily operational escalations following a playbook established by the Senior Manager.

• Facilitate logistics for new-hire onboarding and vendor configuration for clinical staff, including Elation and Quest.

• Help organize the Operations On-Call rotation schedule.

• Coordinate clinical scheduling, coverage, and daily operations across multiple states.

• Collaborate closely with the Clinical Operations Senior Manager and clinic managers.

• Contribute to building the operational foundation of a new Clinical Operations team.

⛳️ Requirements

• Minimum of 2 years of experience in clinical operations, healthcare administration, or a comparable operational/coordination role.

• Exceptionally organized, with the ability to track multiple moving parts simultaneously: schedules, PTO requests, call-outs, and vendor setups.

• Comfortable managing a recurring, detail-oriented operational process.

• Detail-focused and responsible; capable of identifying issues early and taking ownership of tasks.

• Able to establish trust with clinic managers and cross-functional partners while keeping them proactively informed.

• Passionate about the operational and logistical aspects of healthcare.

• Composed in the midst of complexity across 24+ states with varying licensing and coverage regulations.

• Proficient in learning and working with scheduling, EHR, and lab-vendor systems such as Elation, Quest, and sync visit platforms.

• Eager to assist in developing and refining processes as a new team and role are established.
