This is a fully remote position, open to applicants in United States.
• Act as the primary day-to-day contact for NPs and Sprinters regarding queries related to timesheets, mileage, and documentation.
• Follow up on timesheet submissions, PTO entries and approvals, and sick leave prior to payroll closure.
• Ensure weekly mileage and hours submissions are validated in accordance with established policies and protocols.
• Review and summarize supporting documentation for mileage and time submissions.
• Authorize expenses within defined parameters.
• Extract data and monitor peer audits and bonus incentives.
• Provide managers with weekly exception reports, complete with full documentation.
• Oversee clinical employee attendance, call-off, and workforce planning trackers.
• Monitor training completions and annual compliance for clinical teams.
• Generate weekly and monthly operational reports.
• Assist in logistical planning for the workforce.
• Maintain dashboards, trackers, and workforce metrics.
• Manage administrative escalation trackers and follow up on outstanding items.
• Direct non-clinical operational issues to the relevant teams.
• Keep SOPs, workflows, and operational documentation up to date.
• Track project milestones and action items, supporting the launch of new workflows.
• Engage in internal audits, pinpoint documentation gaps, and recommend improvements to processes.
• Identify recurring workflow issues and suggest solutions.
• Uphold confidentiality and comply with HIPAA and operational standards.
• A minimum of 2 years in an operations, coordination, or administrative support position.
• Proven experience managing multiple workflows, trackers, or reports concurrently.
• At least 2 years of demonstrated success in identifying and applying AI-driven solutions to enhance workflows and operational efficiency.
• Ability to work independently and remotely with minimal daily supervision.
• Excellent communication and problem-solving abilities.
• Proficient in EHR systems and Google tools.
• Must have a reliable internet connection and a secure, dedicated workspace.
• Availability to work during CST hours.
• Preferred: experience in healthcare operations, medical group administration, or home health/home care.
• Preferred: familiarity with multi-state payroll or leave compliance.
• Preferred: experience supporting a distributed or regional field team.
• Preferred: previous use of Rippling or similar HRIS platforms.
