This is a fully remote position, open to applicants in Connecticut, +4 more states.
• Manage, support, and continuously enhance clinical workflows, provider schedules, onboarding and offboarding processes, as well as platform troubleshooting to guarantee a smooth care delivery experience.
• Analyze clinical dashboards for ongoing improvement and quality assurance.
• Evaluate and distribute weekly clinical dashboards.
• Organize clinicians’ calendars to ensure alignment with patient appointments, supervision sessions, and other necessary or optional meetings.
• Monitor clinician schedules to promote productivity and effective time and calendar management practices. Identify areas for improvement in calendar management and communicate feedback and suggestions to clinicians and clinical leaders.
• Assist in facilitating patient transfers when necessary, ensuring a streamlined process for both clinicians and patients.
• Resolve technical issues efficiently by troubleshooting EHR systems and business platforms.
• Offer enrollment assistance, access troubleshooting, and account information management for our EHR to clinicians.
• Provide onboarding support by training and assisting new clinicians.
• Finalize patient charts with proper documentation and notifications.
• Regularly review the Website Directory of providers and escalate any discrepancies or updates to the Clinical Operations Supervisor.
• Continuously assess workflows and Standard Operating Procedures (SOPs) to ensure alignment with organizational priorities, improve operational efficiency, and uphold high-quality standards.
• Serve as a reliable point of contact for assigned care teams, facilitate bi-annual clinician check-ins, and provide ongoing guidance, resource-sharing, and operational support. Liaise with patients on behalf of providers.
• Ensure a thorough, efficient, and positive onboarding and offboarding process for providers through thoughtful collaboration with key departments and contributors (People Operations, Marketing, Clinician Supervisors, etc.).
• Conduct formal check-ins with each clinician twice annually to discuss updates, provide resources, and collaboratively address clinical or patient care needs.
• Lead and engage in meaningful discussions during check-ins, advocating for patient needs and sharing actionable updates to promote clinician success.
• Utilize internal dashboards and reporting tools to track productivity, documentation compliance, and patient reengagement opportunities.
• Foster and maintain collaborative professional relationships between operations and clinical departments.
• Required Education Level: High School Diploma or equivalent.
• Education Details: A degree in healthcare, business, operations, or compliance is preferred.
• Minimum of two years of experience in a healthcare setting, business operations, or clinical provider roles.
• A strong desire to assess processes and collaborate on effective solutions.
• Highly organized and detail-oriented.
• Comfortable navigating change, adapting to shifting priorities, and following evolving workflows.
• Ability to build partnerships and cultivate collaborative relationships across the organization.
• Self-motivated with the ability to work independently.
• Skills in conflict resolution.
• Strong customer service abilities.
• Experience with provider relations, healthcare operations, or clinical team support is strongly preferred.
• Proficiency in using EMR tools such as IntakeQ is preferred.
• Experience with CRM tools like Salesforce is a plus.
• Data analysis and dashboard management skills are preferred.
• Team-oriented mindset.
• Proficient in utilizing a variety of technology platforms and systems (Google Suite required, along with company-wide platforms/software such as Monday.com and applicable EHR/EMR platforms).
• Intermediate computer skills and technical aptitude are required.
