
Client Service Associate – Trust Administrator

This is a fully remote position, open to applicants in United States.
• Deliver initial client support.
• Manage all client account documentation.
• Oversee cash distributions (wires/checks/ACHs).
• Administer bill pay operations, callbacks, and payment processing.
• Handle internal and external asset/account transfer paperwork.
• Facilitate charitable contributions and draft related correspondence.
• Update and maintain the Tamarac CRM and Fidelity platforms (e.g., address modifications).
• Support the delivery of tax documents (e.g., 1099s, K-1s).
• Provide basic assistance with the client portal (e.g., password resets, document uploads).
• Organize meetings (primarily external meetings with multiple trustees, CPAs, and attorneys).
• Participate in both external and internal team projects.
• Offer additional backup/support for other Client Service Associates.
• Execute other tasks as assigned for the smooth operation of the Department.
• Aid in account setup and ongoing account maintenance, including managing a tickler program.
• Assist with trust onboarding, divisions, age attainments, modifications, and terminations, including preparing trust interest summaries, accountings, and receipts and releases.
• Prepare and manage beneficiary notices and Crummey notices in accordance with trust requirements.
• Conduct ongoing trust administration maintenance, including recording updates and tracking requirements.
• Provide assistance with 1041 tax reporting, including collaboration with internal Tax teams.
• Help with cash management related to trust accounts.
• Support a total return administration process.
• Maintain and update OneSource and other trust accounting/reporting systems.
• Collaborate closely with Trust, Tax, and Operations teams to ensure timely and accurate execution of trust-related tasks.
• Assist in preparing materials for regular committee meetings.
• Offer administrative support to the Legal and Fiduciary Services Departments.
• A Bachelor’s degree is preferred.
• At least 3 years of experience in an administrative or client service role within financial services, trust administration, or a similar industry.
• Strongly preferred experience in trust operations or fiduciary services.
• Proficient with computers and possess above-average knowledge of MS Word, Excel, PowerPoint, Outlook, and SharePoint.
• Desirable experience with financial services platforms, CRM systems, and trust accounting systems (e.g., OneSource).
