This is a fully remote position, open to applicants in United States.
• Serve as a key point of contact between finance, brand, and project management to guarantee that reporting and data are communicated with the relevant teams and that revenue is accurately recognized.
• Act as the main finance representative for designated clients, accounts, and project teams on a daily basis.
• Collaborate with Account Management, Production, Business Affairs, Project Management, Media, and Accounting throughout the financial lifecycle of each project.
• Engage in client finance discussions, budget meetings, billing reviews, WIP discussions, and job-status updates.
• Offer insights into project budgets, actual expenditures, commitments, billings, collections, and remaining available funds.
• Recognize financial risks, unresolved matters, and opportunities, escalating significant issues as necessary.
• Manage the financial setup and upkeep of client projects within financial and project management systems.
• Assess scopes of work, estimates, fee arrangements, billing timelines, budgets, and client approvals prior to commencing jobs.
• Ensure job documentation is maintained and financial records are consistent with approved scopes, estimates, change orders, and purchase orders.
• Facilitate job-code creation and coding instructions across involved departments.
• Identify outstanding vendor invoices and remaining financial commitments.
• Assist with scope modifications and change orders to ensure that additional work is authorized, budgeted, and billable.
• Conduct regular job-level reconciliations.
• Prepare, review, and submit client invoices while maintaining billing schedules and trackers.
• Reconcile proposed billings with budgets, recognized revenue, WIP, costs, previous invoices, and client authorizations.
• Address rejected invoices, missing documentation, portal issues, purchase order discrepancies, and billing exceptions.
• Review WIP, unbilled costs and fees, deferred revenue, and project balances during monthly closing procedures.
• Maintain WIP schedules and investigate aged or unsupported balances.
• Assist with monthly revenue-recognition calculations and documentation.
• Track accounts receivable and invoice statuses; follow up on outstanding invoices.
• Investigate payment delays, short payments, deductions, and disputes with clients.
• Aid in cash forecasting and client profitability analysis.
• Act as the main finance representative for assigned clients, accounts, and project teams on a daily basis.
• Proficient in client finance, budgeting, billing, work in progress (WIP), accounts receivable, and revenue recognition processes.
• Capable of reviewing scopes of work, client estimates, fee arrangements, billing schedules, approved budgets, purchase orders, and written authorizations.
• Competent in performing job-level financial reconciliations.
• Skilled in preparing, reviewing, and submitting client invoices.
• Ability to investigate aged, unsupported, or potentially non-billable balances.
• Proficient in supporting monthly revenue-recognition calculations and documentation.
• Capable of monitoring accounts receivable, collections, payment delays, short payments, invoice deductions, and client disputes.
• Able to assist with client profitability analysis, including labor performance, production margins, pass-through costs, over-service, write-offs, and scope modifications.
• Legally authorized to work in the US.
