This is a fully remote position, open to applicants in Philippines.
• Accurately complete and maintain Item Creation Sheets in accordance with internal standards.
• Manage and populate product data in Salsify, collaborating with Buyers and suppliers to gather necessary copy, specifications, images, and compliance information.
• Assist Buyers with extensive data entry across internal systems.
• Ensure product information is thorough, cohesive, and consistent across all platforms.
• Prepare and finalize photography briefs, clearly communicating all required product details, styling notes, and deadlines.
• Coordinate the necessary product information for photography and follow up on any outstanding data.
• Support the Buying and Marketing teams by ensuring all documentation related to photography is accurate and complete.
• Communicate with suppliers and Buyers to collect the necessary compliance and product documents.
• Email factories to request and follow up on documentation such as APCO certifications, BSCI certification, and other ethical sourcing papers.
• Track and maintain records of compliance documents, escalating any gaps or risks to the Buyer as needed.
• Make outbound calls to international suppliers and internal stakeholders to proactively follow up on pending information.
• Review and verify artwork against the original brief to ensure product details, branding, and specifications are accurate.
• Identify and report discrepancies or errors to Buyers for assessment and resolution.
• Aid in packaging and artwork workflows to guarantee accuracy before approval.
• Scan and validate barcodes, check documentation, and report any inconsistencies or errors.
• Keep organized records of barcode checks, approvals, and digital documentation.
• Strong experience in administration and data entry, preferably in buying, merchandising, sourcing, or supply chain.
• Exceptional attention to detail with the capability to manage large datasets accurately.
• Confident in communicating with international suppliers and internal stakeholders through email and phone.
• High proficiency in both written and spoken English communication.
• Process-oriented and methodical working style with excellent organizational and time-management abilities.
• Ability to independently follow processes, briefs, and critical paths while supporting multiple stakeholders.
• Previous experience managing product data in Salsify is a plus.
• Familiarity with Item Creation Sheets or similar high-volume data inventory templates is desirable.
• Prior experience in reviewing artwork briefs or managing barcode verification processes is a bonus.
• Experience in following up on supplier compliance documents such as APCO or BSCI certification is advantageous.
