This is a fully remote position, open to applicants in Argentina.
• Evaluate workflows to identify errors, gaps, redundant steps, and inefficiencies; recommend solutions.
• Develop and document processes, Standard Operating Procedures (SOPs), checklists, instructions, and process guides.
• Produce screen captures and training videos.
• Conduct tests on changes prior to and following production release.
• Manage and configure platforms such as Asana, ActiveCampaign, HubSpot, Google Workspace, Zapier, and Make.
• Construct, sustain, and troubleshoot automations, templates, task routing, and email sequences.
• Address or escalate staff inquiries regarding systems, access, and workflows.
• Collaborate with software vendors to resolve platform issues.
• Provision and modify user access while ensuring system continuity.
• Perform operational audits and evaluate work against established standards.
• Identify recurring errors and suggest retraining, process modifications, form adjustments, or automation improvements.
• Compile, cleanse, normalize, validate, and report operational data.
• Generate reports on volume, processing time, workload, quality, and capacity.
• Oversee systems and access for onboarding new hires.
• Prepare onboarding projects, credentials, and role-specific resources.
• Train staff and deliver refresher training sessions.
• Coordinate shared processes with teams including Legal, Finance, Setup, Correspondence, Reception, and others.
• Communicate operational changes and facilitate rollouts, office-specific protocols, and special projects.
• Review and assess candidate evaluations for operational hiring when requested.
• Dedicated to assisting immigrants in securing their future in the United States through asylum.
• Bilingual in Spanish and English, proficient in both written and spoken communication.
• Advanced skills in Excel and Google Sheets, including pivot tables, lookups, conditional logic, and data cleansing for large or disorganized datasets.
• Experience in generating recurring reports from raw data and validating outcomes.
• Practical experience in CRM or marketing automation administration, ideally with ActiveCampaign or HubSpot.
• Familiarity with automations using Zapier, Make, Google Apps Script, Claude Cowork, or similar platforms.
• Experience with task or project management systems, preferably Asana.
• Proficient in writing SOPs or work instructions.
• Experience in creating training materials and instructing employees, including written guides and screen recordings.
• Exceptional attention to detail.
• Ability to prioritize competing tasks and manage urgent interruptions.
• Strong judgment regarding confidential client, legal, financial, and employee information.
• Comfortable addressing undefined problems without a clear escalation pathway.
• Ability to collaborate across departments without formal authority.
• Well-organized and capable of performing with minimal supervision.
• Adaptable and willing to take on evolving responsibilities.
