This is a fully remote position, open to applicants in United States.
• Acquire knowledge and become the go-to expert on the company's process documentation and operating systems.
• Oversee and maintain the organization's process documentation platform.
• Ensure that processes are well-organized, up-to-date, and consistently adhered to across various departments.
• Perform process audits and assist in ongoing process improvement initiatives.
• Contribute to the upkeep of scalable systems that facilitate company growth.
• Manage and oversee email communications for the COO from the executive team.
• Direct operational inquiries through the appropriate channels.
• Guide team members toward existing documented procedures and resources.
• Maintain structured communication protocols among multiple departments.
• Assist in managing executive workflow and ensuring operational follow-through.
• Act as a central coordination point between departments as necessary.
• Guarantee that communication adheres to established reporting structures and leadership channels.
• Help uphold organizational clarity and accountability.
• Coordinate operational initiatives across various business functions.
• Facilitate onboarding and offboarding communication with managers, HR partners, and technology vendors.
• Support operational transitions and ensure adherence to communication protocols.
• Monitor the completion of workflows across key administrative functions.
• Collaborate with external service providers and business partners.
• Audit departmental scorecards and operational metrics for precision.
• Verify reported data across departments.
• Highlight inconsistencies and operational issues for leadership evaluation.
• Assist in maintaining reporting dashboards and performance tracking systems.
• Reinforce documentation and communication standards throughout the organization.
• Mid-level management or operations experience is required.
• Strong organizational skills and project coordination abilities are essential.
• Exceptional written communication skills are a must.
• Proven track record of success working within established processes and systems.
• Ability to handle multiple priorities while ensuring accuracy and attention to detail.
• Experience in finance, banking, accounting, investment services, business administration, or a similarly process-oriented industry is preferred.
• Familiarity with process documentation systems, project management platforms, or operational scorecards is preferred.
• Exposure to multi-department business operations is preferred.
