This is a fully remote position, open to applicants in Germany.
• Accountable for manual invoicing tasks, which include the creation, distribution, follow-up, and payment reminders.
• Entering invoices into DATEV.
• Processing payments for overdue invoices using Moss.
• Overseeing preparatory accounting and liaising with the tax advisor.
• Managing Factorial, which encompasses vacation tracking, time management, and sick leave documentation.
• Coordinating payroll accounting and handling employee adjustments.
• Conducting monthly commission settlements for the sales team.
• Engaging in debt collection and dunning processes.
• Organizing team events, team calls, and workations.
• Providing weekly reports directly to the CEO.
• Facilitating communication and coordination with lawyers, insurers, service providers, and freelancers.
• Independently overseeing website projects.
• Reviewing and updating terms & conditions and privacy policies.
• Managing the info@ inbox and serving as the primary contact for legal inquiries.
• Conducting preliminary interviews for new operational positions.
• Organizing and technically preparing onboarding and offboarding procedures.
• Providing technical onboarding for new employees and serving as the main point of contact for inquiries.
• Screening candidates and conducting initial interviews for operations hiring, as well as overseeing trial days in sales.
• Proven experience in invoicing, accounting, finance operations, or general business management.
• Proficient user of DATEV.
• Familiarity with payroll accounting and effective communication with tax advisors.
• Capability to independently draft and revise contracts, NDAs, and legal documents.
• Comfortable using Slack, Claude, Asana, or similar project and communication platforms, or a willingness to learn quickly.
• Experience with a CRM like Close or HubSpot is advantageous.
• A thorough, organized, and reliable work approach.
• Ability to handle sensitive financial and legal information with discretion.
• Strong organizational abilities and a passion for diverse tasks ranging from accounting to recruitment.
